Tatua has an exciting opportunity for a professional, friendly, and highly organised Office Administrator to join the team. This role is central to creating the first impression of Tatua, both in person and over the phone while also providing vital administrative support across the organisation.
We’re looking for someone who thrives in a front‑line role, enjoys working autonomously, and brings a warm, welcoming presence to our reception and administrative spaces.
In this role, you will:
- Act as the first point of contact for all visitors, creating a welcoming and professional experience
- Manage all incoming phone calls and reception enquiries
- Oversee the visitor management system, ensuring information is accurate, up‑to‑date, and security‑focused
- Provide high‑quality administrative assistance to the Executive Assistant, People & Capability team, and Tatua Leadership Team
- Prepare documents, coordinate meetings, manage bookings, and arrange catering
- Oversee facilities within the Administration Building to ensure spaces are clean, well-stocked, and ready for use
- Manage content for the digital noticeboard and coordinate our internal Tatua Times publication.
To succeed in this role, you will bring:
- Experience in office administration or office management
- Strong customer service and communication skills, both written and verbal
- Confidence using Microsoft Office, Outlook, SharePoint, and Teams
- A high standard of personal presentation and professionalism
- The ability to work autonomously, anticipate needs, and manage competing priorities
- Experience with digital communications or visitor management systems is desirable.
This role is perfect for someone who is friendly, reliable, flexible, and committed to supporting others while keeping our front-line operations running smoothly. This role is Monday–Friday, 8:00am–5:00pm (one‑hour lunch break).
