About the role

As the Office Administrator, you will work closely with the Manager to ensure that the day-to-day operations of the office for the Private Family Office are managed with precision, transparency, and care. This position is based in our Manly office and permanent part time, 3 days a week. You will act as the primary point of contact for all office related matters.

Your daily responsibilities will include:

  • Track, manage and maintain various administrative tasks for the office in an excel spreadsheet
  • Manage office systems including office alarm system
  • Ensure the kitchen and office is stocked with supplies
  • Administrative duties; printing and scanning of large files, filing, archiving and signing of documents to ensure efficient and compliant record-keeping
  • Collect, sort, track and distribute mail for the office including coordinating courier services when required
  • Manage, organise and handle the administration email/inbox
  • Manage office catering when required and manage office maintenance
  • Assist with scheduling meetings and managing office calendars when required

To be successful in this role, you will need

  • High attention to detail
  • The ability to self-motivate, work autonomously and problem solve in a highly efficient manner
  • Previous experience in a similar office administration role
  • Strong computer skills, particularly with the Microsoft Office suite (Word, Excel and Outlook)
  • Strong organisational and multitasking skills
  • Excellent verbal and written communication skills
  • A commitment to a high work standard and work ethic
