We are seeking an organized and proactive Office Assistant to become the operational hub of our Amsterdam office and provide support across our European offices, reporting into the Europe Office Ops Manager. In this pivotal role, you will provide essential administrative and logistical support to ensure our offices run seamlessly and efficiently. The ideal candidate is a resourceful problem-solver with a hospitality mindset, dedicated to creating a positive and productive work environment for all team members.

In this Role, you’ll get to:
  • Collaborating closely with the Europe Office Ops Manager (London based), European offices and liaising with Travix Team members (whom we share the office at present with).
  • Provide comprehensive administrative support, including processing invoices, supplier research, report compilation, and mail distribution.
  • Manage all office inventory, from sourcing and ordering snacks and stationery to receiving deliveries.
  • Maintain a tidy, organized, and presentable office environment for all staff and visitors.
  • Act as the primary contact for vendors, building management, and shared office tenants.
  • Collaborate with IT and facilities teams to ensure a safe, secure, and functional workplace.
  • Greet and register visitors, manage access security, and provide exceptional hospitality.
  • Support internal events, meetings, and office celebrations from planning to execution.
  • Assist with onboarding new hires, desk moves, and providing ad-hoc support to team members and VIPs.
What you'll Need to Succeed
  • Proven experience in an office administration, assistant, or coordinator role.
  • Exceptional organizational and multitasking skills with a keen eye for detail.
  • Superb verbal and written communication skills in English [and add other languages if required].
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel).
  • A proactive, "can-do" attitude with the ability to work independently and anticipate needs before they arise.
  • Strong customer-service orientation and a professional demeanour.
    Highly Desirable:
  • A background in hospitality is a significant plus.
  • Ability to prioritize tasks effectively and manage time in a dynamic environment.
  • Resourceful problem-solving skills and a calm under pressure.
