- Collaborating closely with the Europe Office Ops Manager (London based), European offices and liaising with Travix Team members (whom we share the office at present with).
- Provide comprehensive administrative support, including processing invoices, supplier research, report compilation, and mail distribution.
- Manage all office inventory, from sourcing and ordering snacks and stationery to receiving deliveries.
- Maintain a tidy, organized, and presentable office environment for all staff and visitors.
- Act as the primary contact for vendors, building management, and shared office tenants.
- Collaborate with IT and facilities teams to ensure a safe, secure, and functional workplace.
- Greet and register visitors, manage access security, and provide exceptional hospitality.
- Support internal events, meetings, and office celebrations from planning to execution.
- Assist with onboarding new hires, desk moves, and providing ad-hoc support to team members and VIPs.
- Proven experience in an office administration, assistant, or coordinator role.
- Exceptional organizational and multitasking skills with a keen eye for detail.
- Superb verbal and written communication skills in English [and add other languages if required].
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel).
- A proactive, "can-do" attitude with the ability to work independently and anticipate needs before they arise.
- Strong customer-service orientation and a professional demeanour.
Highly Desirable: - A background in hospitality is a significant plus.
- Ability to prioritize tasks effectively and manage time in a dynamic environment.
- Resourceful problem-solving skills and a calm under pressure.
