Office Assistant

Position Overview The Office Assistant provides administrative and clerical support to ensure smooth daily operations across all departments. This role helps maintain a welcoming environment, supports documentation needs, assists with scheduling, and strengthens organizational efficiency. The Office Assistant plays a key part in keeping the workplace organized, professional, and client-centered.

Key Responsibilities

  • Greet visitors, answer phone calls, and provide helpful, friendly customer service
  • Support staff with daily administrative needs, including filing, scanning, copying, and organizing documents
  • Assist with appointment reminders, scheduling, and front-desk coordination
  • Manage incoming and outgoing mail, packages, and communication
  • Maintain organized office systems, supply inventory, and general workspace tidiness
  • Prepare forms, packets, and documentation for staff and client use
  • Assist with data entry, record updates, and maintaining accurate logs
  • Support onboarding by preparing new-hire folders, collecting documents, and organizing HR materials
  • Help coordinate meetings, staff events, and internal communications
  • Uphold confidentiality and professionalism at all times
  • Support leadership with special projects and routine office tasks as needed

Qualifications

  • High school diploma or equivalent required
  • Prior administrative or office experience preferred (healthcare or human services is a plus)
  • Strong communication and customer service skills
  • Ability to stay organized, multitask, and manage time effectively
  • Comfortable with computer systems, email, and basic office software
  • Professional, reliable, and able to work with sensitive information discreetly

Job Types: Full-time, Part-time

Pay: $16.00 - $18.00 per hour

Expected hours: 37.5 per week
