Overview
We are seeking a detail-oriented and organized Office Assistant to support our administrative team. The ideal candidate will possess strong computer skills, excellent customer service abilities, and experience with office management tasks. This role offers an opportunity to work in a dynamic environment where efficiency, professionalism, and multitasking are essential. The Office Assistant will play a vital role in maintaining smooth office operations, managing communication channels, and providing exceptional support to staff and clients alike.
Responsibilities
- Manage front desk operations, including greeting visitors and handling inquiries with professional phone etiquette
- Operate multi-line phone systems and direct calls appropriately
- Perform data entry, filing, and document proofreading to ensure accuracy and organization
- Utilize Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace for various administrative tasks
- Schedule appointments, manage calendars, and coordinate meetings efficiently
- Handle bookkeeping tasks using QuickBooks or similar software as needed
- Support office management duties such as supply ordering and maintaining office equipment
- Assist with customer support activities, ensuring positive interactions and prompt responses
- Maintain organized records and ensure confidentiality of sensitive information
- Provide clerical support including typing, photocopying, and document preparation for various departments
Qualifications
- Proven experience in an office environment or administrative role with strong organizational skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Familiarity with QuickBooks or bookkeeping software is preferred
- Excellent communication skills, both verbal and written; bilingual abilities are a plus
- Strong computer literacy and data entry skills with attention to detail
- Experience with front desk operations, phone systems, and customer service best practices
- Ability to multitask efficiently in a fast-paced setting while demonstrating excellent time management skills
- Previous experience in medical or dental receptionist roles is advantageous but not required
- Personal assistant or office management experience will be considered a plus
