Job Overview
We are seeking a highly organized and proactive Office Manager to oversee the daily operations of our dental office. The ideal candidate will play a crucial role in ensuring that our office runs smoothly and efficiently while providing exceptional support to our staff and patients. This position requires strong leadership skills, attention to detail, and a solid understanding of dental office procedures.
Duties
- Manage the overall operations of the office, ensuring compliance with policies and procedures.
- Supervise administrative staff, providing guidance and support to enhance productivity.
- Maintain electronic medical records (EMR) systems, ensuring accuracy and confidentiality.
- Oversee human resources functions, including recruitment, onboarding, and employee relations.
- Assist in budgeting processes and monitor office expenditures to ensure financial efficiency.
- Coordinate patient scheduling and manage front desk operations to enhance patient experience.
- Ensure proper use of medical terminology in documentation and communication within the office.
- Collaborate with healthcare providers, including CDA licensed assistants and specialists, to streamline operations.
- Oversee and coordinate office administrative procedures, implementing improvements as needed.
- Establish work priorities, delegate tasks to support staff, and ensure deadlines and procedures are followed.
- Manage office services, including equipment, supplies, maintenance, and security.
- Assist in budgeting, inventory control, and contract administration.
- Prepare periodic reports, manuals, and correspondence.
- Supervise records management and administrative staff.
- Ensure compliance with privacy legislation regarding the release of records.
- Coordinate clinic relocations, space planning, and asset management as needed.
- Maintain and update employee information, including attendance, leave, and overtime, to calculate pay and benefit entitlements using payroll services provider.
- Prepare and verify statements of earnings, indicating gross and net salaries, deductions (taxes, garnishments, insurance, and pension plans).
- Process all payroll-related payments, including regular pay, benefits, bonuses, and vacation pay.
- Complete and verify forms for benefits administration (pension plans, leaves, medical insurance, etc.).
- Prepare payroll filings, including year-end tax statements, Records of Employment (ROE), and other required documentation.
- Implement best practices for maintaining a clean and organized office environment.
Skills
- Strong people management skills.
- Experience with budgeting and financial management within a medical or dental office setting.
- Familiarity with Abeldent software is preferred but not mandatory. Induction training will be provided.
- Understanding of medical terminology relevant to a healthcare environment.
- Proven supervisory skills with the ability to lead a team effectively.
- Experience working in a hospital or dental office is advantageous.
- Excellent communication skills, both verbal and written, with a focus on patient interaction.
