We’re looking for a warm, proactive, and highly organised Office Manager to play a pivotal role in supporting our Glen Iris HQ and the people who work within it.

About the Role

We’re seeking an enthusiastic and capable Office Manager to oversee the day-to-day operations of TheirCare’s Glen Iris head office and support the wider organisation with high-quality administrative and operational support.

This role is central to creating a professional, welcoming, and efficient workplace. You’ll be responsible for everything from office supplies, vendors, and mail, to visitor experience, staff onboarding support, and maintaining a clean, safe, and well-organised environment.

You’ll also play an important role in supporting office culture — coordinating celebrations, events, and moments that bring our people together and reflect our values of being caring, open, and engaged.

This is a part-time role (0.8 FTE) based at our Glen Iris HQ.

Key Responsibilities

  • Oversee the smooth day-to-day operation of the Glen Iris office, ensuring a professional, welcoming, and well-organised environment.
  • Manage office supplies, uniforms, equipment, and vendor relationships, including ordering, stock control, and record keeping.
  • Coordinate incoming and outgoing mail, deliveries, couriers, and internal office postings.
  • Welcome visitors and manage reception, meeting rooms, sign-ins, and car parking arrangements.
  • Support new starters with office onboarding, including desk set-up, IT coordination, staff IDs, lanyards, and uniforms.
  • Maintain office cleanliness and shared spaces, including kitchens, bathrooms, meeting rooms, and work areas.
  • Monitor and manage shared inboxes and internal office communications.
  • Support internal stakeholders and field teams with administrative and operational needs.
  • Organise office celebrations, events, and key days of significance that contribute to a positive and inclusive workplace culture.
  • Assist with workplace health and safety requirements, including safety checks, records, and contractor coordination.

About You

  • Previous experience in an Office Manager, Reception, or Business Administration role is beneficial.
  • Highly organised with strong time management skills and the ability to juggle multiple priorities.
  • A confident and friendly communicator who builds positive relationships with staff, visitors, and suppliers.
  • Proactive, reliable, and comfortable working autonomously when needed.
  • Strong attention to detail and pride in creating a clean, safe, and well-functioning office environment.
  • Confident using Microsoft Office and general office technology.
  • Someone who genuinely enjoys supporting others and contributing to a happy, engaged workplace.
