Office Manager For Medical Family Practise In Devon, Alberta

Job Summary
We are seeking an experienced and highly organized Office Manager to oversee the daily operations of a busy Medical Family Practice located in Devon, Alberta. The ideal candidate will be responsible for managing administrative functions, supervising staff, and ensuring smooth office workflows. This role requires excellent communication, organizational skills, and a strong background in medical office management to support both clinical and administrative teams effectively.

Responsibilities

  • Oversee daily office operations, including front desk management and patient scheduling
  • Supervise administrative staff, including receptionists and clerical personnel
  • Manage calendar appointments, meetings, and coordinate schedules for providers and staff
  • Handle vendor management, including ordering supplies and maintaining relationships with service providers
  • Oversee human resources functions such as onboarding, training & development, and employee records
  • Prepare and monitor budgets; perform bookkeeping and financial record keeping
  • Ensure compliance with healthcare regulations and maintain patient confidentiality
  • Coordinate event planning for staff meetings or community outreach programs
  • Maintain filing systems, manage multi-line phone systems, and ensure efficient communication flow
  • Develop training programs to enhance team performance and office efficiency
  • Uphold professional phone etiquette and excellent customer service standards at the front desk

Skills

  • Proven experience in office management within a medical or healthcare setting
  • Strong supervisory and team management skills
  • EMR experience is essential and experience working with AVA is preferred
  • Proficiency in QuickBooks, calendar management tools, and office software (MS Office Suite)
  • Excellent organizational skills with the ability to multitask effectively
  • Effective communication skills for interacting with staff, vendors, patients, and healthcare providers
  • Experience in event planning, vendor management, budgeting, payroll, bookkeeping, and human resources functions
  • Knowledge of medical office procedures including front desk operations and multi-line phone systems
  • Ability to handle confidential information with discretion
  • Demonstrated ability to train staff and support professional development initiatives
  • Exceptional problem-solving skills with a proactive approach to office challenges
