Status: Full time / 40 Hours / week
Work Schedule: 9:00 AM to 5:00 PM CST / 11:00 PM to 7:00 AM PHT (Monday to Friday)

About the Company:

Our client is a well-established real estate group based in Missouri, with over a decade of experience in the industry. They serve a broad range of residential buyers and sellers and are known for providing a seamless real estate experience. With a team of licensed real estate agents operating as independent contractors and a small core team of employees, our client is looking to grow their support function by hiring a proactive and detail-oriented Office Manager to ensure back-office efficiency and help streamline day-to-day operations.

About the role:

The Office Manager will be the operational backbone of the real estate team. This role is essential in supporting agents by managing documents, maintaining compliance, scheduling key events, and keeping all processes organized and on track. The ideal candidate is a self-starter who thrives in a fast-paced environment, is highly organized, and communicates effectively.

This position is remote and requires working closely with the business owner and agents to keep transactions and administrative workflows running smoothly.

Key Responsibilities:

Document & Compliance Management

  • Handle all paperwork and documentation for transactions including contracts, disclosures, and compliance records.
  • Ensure accuracy and completeness of documents before closings.
  • Track deadlines for contract milestones and ensure timely follow-ups.

Transaction Coordination & Scheduling

  • Schedule property inspections, appraisals, and closing dates.
  • Liaise with inspectors, appraisers, and service vendors (e.g., roofing companies).
  • Maintain an organized calendar of events and appointments for the team.

CRM & Listing Management

  • Input and update property listings in the MLS.
  • Ensure listing data is reflected accurately in the CRM system (Bold Trail).
  • Keep clients and lead information up to date and properly organized.

Communication & Support

  • Serve as the primary point of contact for internal agent support and external communications.
  • Send email reminders to agents about tasks, contract due dates, and client needs.
  • Communicate with clients and service providers in a professional manner.

Process Improvement & Organization

  • Help streamline workflows and recommend ways to improve efficiency.
  • Keep track of operational systems to ensure smooth transaction processes.
  • Support monthly operational reviews to evaluate system effectiveness.

Qualifications:

  • Minimum of 5 years experience in an administrative, operations, or office management role.
  • Excellent English communication skills (written and verbal).
  • Strong attention to detail and accuracy in managing documentation and deadlines.
  • Experience working in a fast-paced, multi-tasking environment.
  • Proficient with Google Workspace (Docs, Sheets, Gmail, Google Chat).
  • Comfortable learning and using various tech tools such as MLS platforms and CRM systems.

Nice to Have

  • Prior experience working in a real estate setting (U.S. or international markets such as Australia or the UK).
  • Familiarity with real estate transaction processes and terminology.
  • Experience using Bold Trail CRM or similar real estate CRM platforms.
  • Knowledge of property listing platforms and how to maintain listing accuracy.

Job Type: Full-time

Pay: Php70,000.00 - Php90,000.00 per month
