Operations and Marketing Coordinator (Real Estate)
A real estate professional in the Quinte region is seeking a highly organized, detail-oriented, and client-focused Operations & Marketing Coordinator to support daily operations across marketing, client care, and transaction coordination.
This full-time, in-office position is well-suited for someone with strong administrative and technical skills who enjoys working in a structured environment and takes pride in keeping systems, timelines, and client experiences running smoothly.
This role involves contributing across multiple functions within the business, including marketing execution, client communication, and transaction coordination. Real estate experience is considered an asset, though not required.
Position Responsibilities: Marketing & Content Creation
- Create and schedule content for social media platforms, including graphics, photos, and video
- Record and edit short-form video content for social media and marketing use
- Design marketing materials using tools such as Canva and Adobe CC, ensuring consistency with brand standards
- Upload blog content and assist with email campaign preparation
- Prepare and coordinate print and digital marketing materials
- Assist with marketing for listings, open houses, and community events
Client Support & Customer Service
- Respond to incoming inquiries, including phone, email, and online leads
- Assist with scheduling appointments, showings, and consultations
- Support lead qualification using established processes and systems
- Prepare documentation and maintain communication throughout the transaction process
- Follow established workflows to support consistent client communication and follow-up
- Provide a professional, responsive, and client-focused experience at all touchpoints
Administrative & Transaction Coordination
- Coordinate and manage real estate transactions from initial client engagement through to closing
- Prepare and upload listing data and transaction documents
- Maintain and update CRM systems, ensuring accuracy and task completion
- Track key dates and deadlines, including showings, inspections, and conditions
- Ensure files are complete, organized, and compliant with regulatory requirements
- Support overall business operations through document management, scheduling, and task coordination
Qualifications & Requirements
- Previous experience in administration, coordination, marketing, or real estate support
- Experience creating social media content, including video recording, basic editing, and basic graphic design (e.g., Canva)
- Strong organizational and time management skills with excellent attention to detail
- Comfortable working with multiple digital tools and platforms (CRM systems, Google Workspace, DocuSign, etc.)
- Clear and professional written and verbal communication skills
- Ability to follow established systems and apply training effectively in day-to-day work
- Valid Ontario driver’s license
Work Environment & Compensation
- Full-time (30-40 hours/week), in-office position (Monday to Friday, with occasional flexibility for events)
- Compensation range of $22–$26/hour, based on experience and performance
- Structured onboarding and training provided, with ongoing support
