Advanced Behavioral Health, Inc. is looking for a Practice Support Specialist in our Frederick, MD office location. This position will be responsible for leading all administrative (non-clinical) functions of the Frederick healthcare practice including providing comprehensive case management services and coordinating the day-to-day operations of our clinic. This position works closely with clients, Therapists, and Prescribers to ensure the delivery of high-quality care.

Essential Functions:
Practice Coordination
- Provide direct support and guidance to the Practice Coordinator team.
- Collaborate with other Practice Support Specialists to ensure ongoing support for all ABH site locations.
- Provide Dr. First technical assistance and administrative support as needed.
- Work closely with the Site Directors to ensure appropriate prescriber coverage is in place.
- Ensure necessary office operations are maintained, including opening and closing the office daily and general office upkeep.
- Ensure efficient communication and operations among practice coordination team.
- Oversee the training of new staff members and provide ongoing support.
- Collaborate with Site Directors to ensure timely process and assignment of referrals.
- Provide backup coverage at ABH sites, as needed.
- Assists patients with the check-in and check-out processes, including taking vitals, scheduling of next appointment accurately in Electronic Medical Records (EMR) system, and preparing off work/off school notes for attending scheduled appointments as requested by patients.
- Provides outreach for missed appointments; monitors and tracks no shows and enters data into system.
- Manages and processes medication refill requests for patients enrolled by following company protocols; complete medication prior authorizations as required by Maryland Medicaid through necessary paperwork and/or by calling the insurance company.
- Consistently updates daily authorizations in the Dr. Cloud EMR system.
- Ongoing maintenance of EMR, including updating patient demographic and billing information and compliance check of intake and consent forms in EMR to ensure patient data is accurate.
- Creates medical records for new patients in EMR, uploading and recording authorization information.
- Obtains and verifies insurance eligibility for all applicable patients along with co-pay collection.
- Assists prescribers with administrative duties (email, office communications, reporting, and refills).
- Maintain strong working knowledge of ASO/Optum, regulations and alerts.
- Coordinates with Site Director and Therapists to ensure cases are assigned and discharged regularly.
- Serve as first point of escalation for issues involving Prescribers to include but not limited to scheduling conflicts, incorrect authorizations, and any other admin tasks.
- Conducts ABH patient reminder calls and verifies current and valid authorization information for each patient scheduled with all Doctors and Nurse Practitioners 48 hours prior to scheduled appointments.
- Acts as primary point-of-contact for referring vendors and communicates status of their referrals throughout the referral process and scans and uploads referral documents to clients’ EMR charts upon completion of referral.
- Sorts and distributes clinic mail and correspondence. Respond timely to calls and messages.
- Maintain confidentiality in all aspects of client, staff, and agency information.
- Collaborates with Clinical Resource Specialists to provide coverage and support with case management functions.
- Complies with CARF/COMAR/HIPPA/State compliance regulations.
- Ensure staff compliance with EMR and uphold the 48-hour documentation standard.
Qualifications:
- Bachelor’s degree in Business or related discipline.
- Minimum of five (5) year’s working in the healthcare system primarily within OMHC.
- Must possess excellent communication skills and ability to communicate effectively with patients, other administrative team members, and staff. Able to work well as part of a team.
- Must be computer literate and able to operate standard office equipment, including but not limited to, computers, telephone systems, calculators, copiers and facsimile machines.
- Proficient knowledge of electronic medical records/scheduling system required.
- Proficient knowledge of and experience with healthcare insurance claims, referral processing, patient responsibility, how deductibles and co-pays factor in, etc.
- Bilingual - fluent in English and Spanish preferred, but not required.
