To support our IT organization, we are now looking for Procurement Coordinator to play a vital role in supporting purchasing activities, contract administration and drive efficiency through AI and automation initiatives.

The Role:
In the role as procurement coordinator, you will handle purchase order processing, invoice verification and procurement record keeping, assist with vendor communications alongside stakeholders, and support procurement and renewal of software contracts. You’ll help with cost analysis and RFQ data gathering, maintain software contract records in the CMDB (ServiceNow), and drive continuous improvement by identifying cost-saving opportunities. Additionally, you will contribute to AI-driven Software Asset Management initiatives and participate in automation projects to streamline software workflows and increase efficiency.
The Software desk at Sweco consists currently of a team of four Software Assets managers. The team is organized in the Engineering IT Solutions (EIS) unit within Sweco IT. The team works in close conjunction with our service managers, IT Business Partners, Sweco Group legal, and stakeholders within the business. The team reports to the unit manager for EIS. We strive to continuously improve our services, reduce and avoid cost, and optimizing our procurement processes and tools.

Qualifications:
  • Experience processing purchase orders, verifying invoices, and managing procurement records
  • Experience with data entry and a working knowledge of Microsoft Excel or PowerBI
  • Basic knowledge of various types of vendor software contract and license agreement such as: Microsoft, Adobe or similar.
  • You feel confident using English both written and spoken.

You have excellent verbal and written communication skills for clear interaction with suppliers and internal teams. You possess foundational negotiation skills and commercial awareness, with the aptitude to learn basic negotiation tactics. Strong analytical and problem solving abilities enable you to interpret and quality assure results. You are flexible, proactive and results driven, working in a methodical and systematic way. A true team player, you enjoy collaborating with others, communicate openly, and willingly share knowledge and insights. You are also comfortable working with and reporting to a remote line manager based in Norway.
