Job Summary

We’re hiring a Project Coordinator to own day-to-day preconstruction and project operations for a growing residential construction team. You’ll prepare takeoff inputs, coordinate bids, stand up new jobs in our project system, and keep budgets/invoices/change orders clean as work progresses. This role starts with estimating and bidding responsibilities, with the opportunity to grow into full lifecycle support from project setup through closeout and warranty. The right hire is process-driven, accurate with numbers, and comfortable switching between desk work (spreadsheets, documents, portals) and vendor/subcontractor coordination.

Duties and Responsibilities

Estimating & Bidding

  • Build initial cost estimates from templates/prior jobs; normalize and compare vendor/sub quotes.
  • Prepare takeoff inputs (counts/quantities from plans); QA vendor-provided takeoffs; flag variances.
  • Maintain pricing libraries and bid tabs; highlight deltas vs. historical $/SF benchmarks.

Project Setup & Operations

  • Create new jobs in project software (e.g., Buildertrend/Procore), including schedules, subcontractor assignments, documentation, and cost codes.
  • Prepare/submit permit and compliance packets (e.g., building permits, energy docs); track statuses.
  • Process approved change orders; keep budgets and cost-to-complete current.

Invoice Review & Budget Control

  • Match invoices to job, phase, and line item; spot mismatches/overcharges; flag and escalate discrepancies in a concise, organized format
  • Run monthly budget updates and simple reconciliations; keep clean naming/version control.

Reporting & Coordination

  • Produce quick weekly snapshots (bid status, permit tracker, budget vs. actuals exceptions).
  • Coordinate with internal leads and subs; follow up on warranty items and close-out tasks as needed.

Continuous Improvement

  • Document SOPs, improve checklists, and suggest small process/tooling upgrades.

Required Skills and Abilities

  • Prior experience in construction estimating, project coordination, or residential building support.
  • Comfort with spreadsheets for cost tracking, comparisons, and budget updates.
  • Meticulous attention to detail with costs, quantities, addresses, and job/phase coding.
  • Experience with construction or project management software (e.g., Buildertrend, Procore); Buildertrend experience preferred.
  • Familiarity with basic AP and vendor invoice workflows; ability to learn new tools quickly.
  • Clear written communication; organized task and file management; reliable follow-through.
  • Sharp eye for discrepancies and variances; confident identifying billing or job coding issues and coordinating follow-up.
  • Ability to work US hours, with flexibility once independently working in role based on team preferences.

Preferred Qualifications

  • Hands-on bid tab normalization and vendor/subcontractor quote comparisons.
  • Familiarity with takeoffs (in-house or QA of supplier/engineer takeoffs).
  • Exposure to permits/energy documentation and close-out/warranty workflows.
  • Knowledge of common construction cost structures ($/SF benchmarks, cost codes).
  • Experience with QuickBooks and/or Bill.com (or similar) for coding/review.

Job Type: Full-time

Pay: Php42,000.00 - Php50,000.00 per month
