About the role:

Location: Stavanger, Norway

Hours: Full-time

The Project Coordinator will be responsible for scheduling, planning and supporting activities aimed at assuring project accuracy and quality from conception to completion.

Providing administrative support to the Projects department to ensure a smooth transition and running of active projects.

With currently a diverse and continuously growing range of projects in Norway, the Project Coordinator is coming to make a considerable difference to our standards of service to our clients, maintain quality and safety from start to finish and provide our internal teams with the support and guidance to enable them to do their job effectively and enjoyably.


About the team:

You’ll be joining our Motive team, who are mainly based in Stavanger. Over the past few years, this team has grown significantly as Motive continues to expand, and our intention is to continue this. Reporting into Operations Manager Norway, you’ll be working alongside an operations team that strive for high quality service of work.

You will also be working alongside a committed and proud Motive team globally that want to play their part in the growth of the business and support each other daily to create a positive, values driven and hard-working professional environment.


Responsibilities:

People

  • Adopting the Motive Offshore Group People Values and ensuring their use is embedded throughout day-to-day tasks and decision making.
  • Liaise with client and/or third parties as requested.
  • Communicating changes to project both internally and to external client.
  • Communicate with procurement, design and workshop to determine delivery dates.
  • Communicate with Sales Department on project completion and tracking revenue.
  • Communicate with Finance Department to arrange invoices are raised and milestones on track.
  • Develop strong working relations with key stake-holders – clients, colleagues etc.

Planet

  • HSEQ – compliance with health, safety and environmental regulations, and the company’s management system.
  • To be a positive ambassador for Motive Offshore Group Ltd.

Product

  • Set up both hard copy and electronic files for projects, taking out appropriate job numbers and assigning appropriate Motive equipment numbers.
  • Compile project specific documentation and ensure presentations of such documents are of high quality.
  • Compile Project Documentation/Mobilisation Packs including all project and testing information for issue to allow manufacture / mobilisation to be completed.
  • Assist with technician planning including project travel, accommodation and any training required for Motive personnel.
  • Manhours planner, Engineering project schedule & other reports.
  • Weekly progress reports & meetings with clients.
  • Take ownership of sales handovers and client communications for Projects.
  • Maintain, develop and monitor project plans, scope, schedule, and work hours.
  • Tracking labour and expenditure for ongoing projects against budget.
  • Organise and participate in project kick-off and progress meetings.
  • Preparation of project specific documentation, progress reports and presentations.
  • Ensuring project technical specification is communicated and standards considered during build.
  • Archive project files as appropriate.
  • General office duties, filing and other duties which may arise within the company.

Required skills / knowledge:

  • Experience working in a similar Project Coordinator role.
  • Experience of working within a Rental department & supporting client with similar equipment would be advantageous
  • Strong IT skills in MS office including Outlook, Excel and Word.
  • Good attention to detail
  • The ability to multitask in a fast pace environment

  • Ability to create strong and trusting relationships
