Description of the role: We’re seeking a Receptionist to join our administration team. In this role, you will predominantly manage receptionist duties, serving as the first point of contact for visitors and callers. Additionally, you will provide occasional personal assistant support to the COO and ad hoc support to senior assistants, helping with scheduling and administrative tasks as needed.

Proven experience as a receptionist or front-of-house professional.
Strong communication skills, both verbal and written.
Excellent organisational skills with the ability to multitask and prioritize.
Professional and friendly demeanour, with a welcoming attitude.
Proficiency in Microsoft Office (Outlook, Word, Excel).
Ability to handle confidential information discreetly.
Reliable and punctual with strong attention to detail.

What your day might look like:
Manage incoming calls, emails, and correspondence efficiently.
Greet and welcome visitors in a professional and courteous manner.
Maintain the reception area, ensuring it is clean and presentable.
Schedule and coordinate appointments and meetings as needed.
Handle incoming and outgoing mail and deliveries.
Assist with managing the COO’s calendar and scheduling appointments.
Prepare and organize documents or meeting materials.
Coordinate communication between the COO and internal or external contacts.
Support the COO with minor administrative tasks and ad hoc projects as requested.
  • Handle sensitive information with discretion and maintain confidentiality.
