- Serve as the primary contact for weekend admission inquiries via phone, email, fax, and in person
- Track weekend leads and inquiries and provide updates to the Director of Admissions and Marketing
- Coordinate and complete required weekend admission documentation
- Maintain accurate records and ensure compliance with company policies and regulatory standards
- Conduct facility tours for prospective residents and families
- Support the overall admissions and marketing process as needed
- Use hospital portals and electronic systems to receive referrals, communicate with case managers, review documentation, and prepare admissions packets
- Navigate and update facility software systems (EHR, CRM, internal communication tools)
- Demonstrate strong computer proficiency for documentation, email communication, and Microsoft Office functions
- Greet and assist visitors in a friendly, professional manner
- Answer incoming calls and direct them appropriately
- Provide general information to residents, families, and visitors
- Perform clerical tasks such as filing, copying, and organizing records
- Monitor front door access and maintain sign-in logs
- Maintain a clean, organized, and welcoming front desk area
- Communicate effectively with all departments to ensure smooth operations
- Uphold confidentiality and professionalism at all times
- Excellent customer service and communication skills—both written and verbal
- Strong computer proficiency, including:
- Microsoft Word, Excel, Outlook
- Email and electronic communication
- Ability to learn and navigate healthcare portals
- Comfort working with hospital systems, referral portals, and electronic file management
- Ability to maintain professional demeanor and represent the facility to families, hospitals, and referral partners
- Strong attention to detail, accuracy, and organizational skills
- Ability to multitask and stay organized in a fast-paced environment
- Ability to work weekends (Sat & Sun, 9:00 am – 5:00 pm)
- Professional appearance and demeanor
- Proficiency in speaking, reading, writing, and understanding English
- Prior experience in reception, admissions, administrative, or customer-facing roles preferred
- Ability to work independently and act as a trustworthy representative of the facility
