Job Summary
We are seeking an energetic and highly organized Receptionist/Administrative Assistant to join our dynamic team. In this vital role, you will serve as the first point of contact for visitors and callers, ensuring a welcoming and professional environment. You will manage a variety of administrative tasks, including scheduling, data entry, file management, and office support, to help our organization run smoothly and efficiently. Your positive attitude, excellent communication skills, and ability to multitask will contribute significantly to our team’s success.
Responsibilities
- Greet visitors warmly and professionally, providing exceptional customer service and ensuring a positive first impression.
- Manage multi-line phone systems with courteous phone etiquette, directing calls accurately and efficiently.
- Handle incoming correspondence, emails, and inquiries promptly while maintaining organized records.
- Schedule appointments, meetings, and calendar management for staff using tools like Google Workspace or Microsoft Office.
- Build Real Estate Vacant Land Listings
- Assist with filing, document proofreading, and maintaining organized office files both physically and digitally.
- Coordinate office supplies procurement and manage inventory levels to ensure smooth daily operations.
- Provide clerical support such as photocopying, scanning, mailing, and preparing reports or presentations.
- Maintain a clean, organized front desk area that reflects professionalism at all times.
- Assist with special projects or personal assistant duties as needed to support team members’ productivity.
- Demonstrate excellent organizational skills by managing time effectively to prioritize tasks in a fast-paced environment.
Skills
- Proven experience in office management or administrative roles with strong clerical skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.
- Exceptional organizational skills with keen attention to detail and accuracy.
- Strong typing skills with high computer literacy; comfortable handling data entry tasks efficiently.
- Excellent customer service abilities paired with professional phone etiquette across multi-line phone systems.
- Bilingual capabilities are a plus to serve diverse client needs effectively.
- Experience in front desk operations or medical/dental receptionist roles is advantageous.
- Knowledge of office equipment such as printers, scanners, fax machines, and office management tools.
- Ability to proofread documents thoroughly ensuring clarity and correctness before submission or distribution.
