Overview
Ohata Shoji Canada Inc. is looking for a reliable, detail-oriented and customer-focused Office Clerk / Customer Service Representative to support our scrap metal recycling operations in Vancouver, BC.
Ohata Shoji Canada Inc. is part of the Ohata Shoji group, which began in Osaka, Japan in 1998. The group focuses on electronics recycling, non-ferrous metal trading and the responsible circulation of resources between Japan and overseas markets.

This position is an important front-office role. The successful candidate will be one of the first points of contact for customers, drivers, vendors and internal team members. Daily responsibilities include greeting customers, answering phone calls, entering data, preparing documents, maintaining records, assisting with scale tickets and supporting smooth day-to-day office and yard operations.

Customer Service & Front Desk
- Greet customers, vendors, drivers and visitors in a friendly and professional manner
- Answer phone calls, emails and in-person inquiries regarding services, pricing, hours of operation and general procedures
- Provide clear instructions to customers regarding check-in, weighing, unloading and payment processes
- Assist customers with basic questions about ferrous and non-ferrous scrap metal recycling
- Maintain a professional, clean and organized front office/customer service area
- Communicate with yard staff, drivers and management to support efficient customer flow
Scale Ticket, Data Entry & Documentation
- Assist with preparing, reviewing and filing scale tickets, receipts, invoices and related paperwork
- Accurately enter customer, supplier, material, weight and transaction information into company systems
- Verify paperwork for accuracy and completeness before processing
- Maintain organized digital and paper records
- Support daily reconciliation of tickets, payments and office records
- Help identify and resolve discrepancies in tickets, weights, customer information or payment records
Payments & Basic Accounting Support
- Assist with processing customer payments according to company procedures
- Handle cash, cheque, electronic payment or other payment records responsibly when required
- Support daily cash/till balancing and report discrepancies to management
- Assist with basic administrative accounting tasks such as filing receipts, organizing invoices and preparing payment records
- Maintain confidentiality of customer and company information
Administrative & Office Support
- Perform general office duties including filing, scanning, photocopying, data entry and document organization
- Schedule or coordinate customer pickups, deliveries or appointments when required
- Assist with maintaining customer and vendor records
- Support inventory, purchasing or material tracking paperwork as needed
- Prepare basic reports or spreadsheets for management
- Order or monitor basic office supplies
- Assist with other administrative tasks as assigned
Operations Support
- Communicate with yard staff regarding customer arrivals, truck flow and material information
- Support coordination between the office, scale, yard and management team
- Assist with checking customer documentation when required
- Follow company policies, safety procedures and site rules
- Help maintain a safe and efficient work environment
- Perform other related duties as assigned by management
Qualifications Required
- Previous experience in office administration, customer service, reception, cashiering, data entry or a similar role
- Strong attention to detail and accuracy with paperwork and data entry
- Good computer skills, including email, Microsoft Office, Google Workspace or similar software
- Strong communication skills in English, both verbal and written
- Professional, friendly and patient attitude when dealing with customers
- Ability to multitask and stay organized in a fast-paced environment
- Reliable, punctual and able to work independently as well as part of a team
- Basic math skills for reviewing weights, prices, tickets and payments
- Comfortable working in an industrial/recycling environment
Qualifications Preferred
- Previous experience in scrap metal recycling, waste management, logistics, warehousing, construction, trucking, automotive or a related industry
- Experience with scale tickets, POS systems, dispatch software, inventory systems or accounting software
- Cash handling or payment processing experience
- Knowledge of ferrous and non-ferrous metals is an asset
- Additional language skills are an asset, Chinese or Japanese.
Physical & Work Environment Requirements
- This is an in-person position
- Work is primarily performed in an office/front desk environment, with occasional communication or coordination with yard staff
- Must be comfortable working near an active industrial/recycling yard environment
- Ability to sit, stand, walk and use a computer for extended periods
- Ability to occasionally lift or move office materials up to 25 lbs
- Must follow all company safety rules and procedures
Schedule
- Full-time, permanent position
- Monday to Friday
- Day shift
- 8-hour shift
- Occasional overtime or Saturday availability may be required depending on business needs
Pay
- $18.5–$28.00 per hour, based on experience and qualifications
