We are looking for a Scheduling Coordinator to join our team and coordinate as well as maintain the schedule for one of our multiple IPM offices.
- Taking or responding to telephone calls promptly to establish or confirm appointments.
- Scheduling patient appointments for consultations, evaluations, and treatments; follow-up or re-evaluation
- Managing inventory and placing orders as required
- Communicate with management through phone calls, emails or video conferencing on updates and/or issues
Duties/Responsibilities:
- Oversees clerical and support services, ensuring tasks are completed in a timely and effective manner.
- Perform all front desk responsibilities.
- Proven work experience as a Scheduling Coordinator or similar role
- Extensive experience with office software, including MS Word, Excel, Teams, and Outlook Express
- Advanced knowledge of confirming and rescheduling appointments, as well as recordkeeping practices
- Sending and receiving packages (Mail, FedEx )
- Relay information to field staff when needed
- Identifies the needs of the patient population served and modifies and delivers care that is specific to those needs (i.e., age, culture, language, hearing and/or visually impaired, etc.). This process includes communicating with the patient, parent, and/or primary caregiver(s) at their level (developmental/age, educational, literacy, etc.)
Required Skills/Abilities:
- Excellent verbal and written communication skills.
- Excellent interpersonal and customer service skills.
- Excellent organizational skills and attention to detail.
- Ability to prioritize tasks and to delegate them when appropriate.
- Ability to function well in a high-paced work environment.
- Basic understanding of how to operate standard business equipment.
- Proficient with Microsoft Office Suite or related software.
- HIPAA compliant
Education and Experience:
- At least two years of progressively responsible clerical experience required.
- High School diploma, general equivalency diploma (GED), and/or GED equivalent programs
- Proficient in computer skills
Physical Requirements:
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 20 pounds at times.
