Scheduling & Office Assistant (Quality, Accreditation & Marketing Support)
Location: On-site (GTA) | Hours: Part-time (20-24 hours/week)
Pay: Based on Experience in home health care agencies
Role Overview
The Office Assistant – Quality, Accreditation & Marketing Support is a hybrid role supporting Accreditation Canada (Qmentum) standards, quality improvement initiatives, administrative scheduling, and ethical marketing. This position is essential in helping CedarCare maintain its status as a quality-driven, accredited home care provider.
Key ResponsibilitiesAccreditation, Quality & Safety (Qmentum-Aligned)
- Maintain Accreditation Canada compliance records & documentation
- Assist with internal audits, incident follow-ups, and risk management
- Update policies and ROP documentation using Citations Canada
- Prepare evidence packages for surveys and support CQI initiatives
Administrative & Scheduling Support
- Coordinate home care staff schedules using ShiftCare
- Manage confidential staff/client records & files
- Assist with report writing, staff forms, and policy updates using ChatGPT
- Provide general office and admin support
Marketing & Communications (Compliant with Qmentum Standards)
- Help create/edit flyers, job ads, social media, and outreach content
- Ensure all public-facing materials are ethical and reflect current services
- Maintain website and branded materials consistency
- Support client referrals and community engagement
Required Competencies
- Familiarity with Accreditation Canada / Qmentum standards
- Policy & document control, audit prep, and privacy compliance
- Competency in quality tracking, incident logging, and ROP knowledge
- Strong written, verbal, and digital communication skills
- Detail-oriented, highly organized, and self-managed
Qualifications
- Experience in administrative, quality, or coordinator roles
- Prior involvement with Accreditation Canada and Citations Canada
- Experience using ShiftCare or similar scheduling tools
- Strong Microsoft Office, email, cloud, and document handling skills
- Digital marketing experience (asset)
- Familiarity with ChatGPT, Canva, and AI tools (asset)

Job Type: Part-time
Pay: $17.20-$25.19 per hour
Expected hours: 16 – 24 per week
Ability to commute/relocate:
- Scarborough, ON: reliably commute or plan to relocate before starting work (required)
Education:
- AEC / DEP or Skilled Trade Certificate (preferred)
Experience:
- Schedule management: 2 years (required)
- Computer literacy: 2 years (required)
- Computer skills: 1 year (required)
Licence/Certification:
- scheduling or coordinating experience (required)
