We are currently seeking an experienced and talented
Site Administrator
to join our high performing team.
REPORTING TO:
Financial Controller
LOCATION: Drogheda (please note, this role will be based on a construction site)
CONTRACT TYPE:
Full-time, permanent
HOURS:
Monday – Friday (42.5 Hours per week, excluding breaks)
Finance Responsibilities
Issuing of site requisitions to the procurement department on a daily basis (as necessary), in a timely fashion with accurate and concise records of all goods and materials requisitioned.
Act as a trusted person with assigned authority on behalf of the Company to sign and acknowledge receipt of goods inwards on supplier documents.
Work in partnership with the site Gateman and where applicable, the site Logistics Coordinator to ensure full awareness of schedule of goods and materials deliveries to site.
Daily receipting of all goods inwards notes (GRNs) and processing on the Connect system accurately.
Closing out all queries related to requisitions and GRNs on the Connect system on a daily basis, working in partnership with colleagues in the Accounts Payable team.
Support with the time management system on site for all direct/agency labour working on-site, including setting up personnel with profiles for turnstile gates and where required, collating timesheets to provide to colleagues in the Payroll department.
Provide accurate updates and reports to the Financial Controller as required.
Attend any team meetings and briefings as part of the Finance function.
Administrative Responsibilities
Monitoring and keeping filing systems on-site up to date, ensuring all documentation is filled accurately and safely, following best practice principles for data protection.
Work alongside colleagues in the Document Control team to ensure any relevant documentation is uploaded to the document management system correctly and in a timely manner.
Maintaining a drawing register for all drawings received on-site.
Ensure site office is maintained in a clean and tidy condition.
Welcome all visitors to the site, and support site management with any administrative requirements in relation to preparing for site visits.
Collect and maintain a full record of daily sign-in sheets from the Gateman for all personnel entering site.
Support site management and SHEQ department with any administrative tasks associated with the site induction process.
Support site management with ad-hoc administrative duties as and when required.
Signpost any queries from employees on-site to the relevant department in head office.
The Candidate
Qualifications & Experience:
A minimum of one years’ experience of working in a similar role that involved the following:
Receipting of goods inwards
Use of inventory or finance system
Experience of processing high volumes of goods inwards notes / delivery dockets on a daily basis, and confidently processing on an inventory / finance system.
Confident IT user; experience of using an ERP will be an advantage but not essential as full training will be provided.
Skills & Attributes:
Strong attention to detail.
Highly organised, with ability to prioritise workload and meet deadlines.
Additional information
Candidates should be aware that the successful appointee will, upon commencement in post, be required to spend 1-2 weeks in our Newry head office in training with the Finance team.
