About the Position

The Trust Fund Coordinator plays a crucial role in improving the effectiveness, performance, and success of the broader Union Benefits team. In this role, the incumbent provides support to the Trust Management team to ensure we fulfil our promise to Trustees that we support and the members that they represent. We are always seeking innovative, new, or optimized ways of working, and this role will be a continuous thought leader and change agent in improving what we do and how we do it.

What will you be doing?

  • Working with the Trust Management Team on an assigned portfolio of Plan Sponsor and Trust clients, providing day-to-day governance support and coordination.
  • Drafting decision-focused agendas and notices based on prior minutes and open Action Items, and ensuring all required materials are assembled into complete meeting packages.
  • Publishing meeting packages to OnBoard with correct permissions, version control, and item-to-agenda mapping; validating access for Trustees and advisors.
  • Managing post-meeting discipline by updating the Action Register, assigning owners and due dates, following up on progress, and inviting required guests for the next meeting.
  • Preparing targeted analyses tied to Action Items (e.g., claims trends, contribution-rate modelling, Dollar Bank excess, cohort impacts) to enable informed Trustee decisions.
  • Creating and maintaining a rolling Minutes Prep file for the next cycle, including concise script notes or discussion prompts for the Chair and presenters.
  • Maintaining an experience tracking workbook covering contributions, claims by line, IBNR/pooling, expenses, reserves, refunds/CFR, and investment income; producing variance and trend insights.
  • Assisting with detailed claims analytics (12/24/36-month trends, top cost drivers, catastrophic claims) and translating findings for Trustees.
  • Supporting the annual renewal/marketing process by compiling data packages, coordinating market submissions, comparing carrier proposals (rates, pooling, terms), and drafting recommendation summaries.
  • Creating and maintaining carrier block information (by line of benefit, pooling limits) to strengthen benchmarking and negotiation leverage.
  • Tracking and reporting KPIs at both the Trust-management and company levels (e.g., funding ratio, Dollar Bank levels/excess, refund/deficit position, SLA performance, OnBoard publishing timeliness), and escalating exceptions as needed.
  • Drawing on TPA operations experience and client-facing consulting skills to deliver clear options, articulate risks, and support timely, well-documented Trustee decisions.
  • In conjunction with internal and external professionals, Pension Plan-related administration and Plan management activities.

What is going to help you be successful?

  • A post-secondary degree or diploma in Financial Management, Business Administration, Human Resources, or a related field
  • 2–5 years of relevant experience, with preference given to:
  • Candidates with 5 years of experience
  • Candidates with experience in the benefits industry
  • Strong analytical skills and exceptional attention to detail
  • Proven ability to solve complex business problems and translate insights into actionable recommendations
  • Demonstrated ability to think critically, creatively, and strategically in dynamic environments
  • Proficiency in Microsoft Office, particularly Excel and Word
  • A values-driven, data-informed approach to decision-making
  • Excellent verbal and written communication skills, with the ability to tailor messaging for diverse audiences
  • Strong organizational skills with the ability to manage multiple priorities and meet deadlines
  • Intellectual curiosity and a genuine interest in strategy, product development, and continuous improvement
