Bilingual Receptionist, Clinical Administrative Assistant & Entry-Level Surgery Scheduler
Location: San Antonio, TX – Satellite Corporate Office
Employment Type: Full-Time
We are seeking an entry-level, professional, and detail-oriented Bilingual (English/Spanish) Receptionist, Clinical Administrative Assistant, and Entry-Level Surgery Scheduler to support the satellite corporate office for a busy general and plastic surgery practice. This position is for entry-level applicants only, but requires a minimum of two years of prior work experience in an administrative, corporate, or medical office setting. No in-person patient interaction is required.
Key Responsibilities
Administrative & Reception Support
- Answer and route incoming calls, emails, and internal communications
- Communicate and translate effectively in both English and Spanish for internal and external contacts
- Maintain accurate and organized electronic patient and practice records
- Prepare documentation, correspondence, and reports as directed
Clinical Administrative Support
- Assist the Clinical Coordinator with sending referrals and securing required clearances (cardiac and primary care provider)
- Request, track, and follow up on lab and imaging results to ensure timely receipt
- Ensure documentation is complete for patient records and compliance standards
Entry-Level Surgery Scheduling
- Assist with coordinating general and plastic surgery cases under the supervision of the Clinical Coordinator
- Verify patient documentation, preoperative requirements, and clearances prior to surgery scheduling
- Communicate with hospitals, surgery centers, and internal staff to confirm case details
- Track surgery schedules, update case logs, and prepare basic case packets for review
- Monitor upcoming cases to ensure deadlines for labs, imaging, and clearances are met
Qualifications
- Fluent in English and Spanish (verbal & written) — required
- Entry-level candidates only — must have a minimum of 2 years of work experience in an administrative, corporate, or medical office
- Strong organizational skills with attention to detail and accuracy
- Ability to manage multiple priorities and meet deadlines
- Proficient in Microsoft Office and comfortable learning new software systems
- Knowledge of HIPAA compliance a plus
