Executive Assistant To The Founder

The Executive Assistant (EA) will serve as the primary operational partner for the Founder, facilitating the seamless integration of high-end wellness facility management (Core+) and private clinical practice. The ideal candidate is a proactive gatekeeper who understands the precision required in medical environments, the confidentiality of patient data, and the fast-paced nature of a startup.

Key Responsibilities
Executive Operations & Business Development (Core+)
Strategic Scheduling: Manage complex, high-priority calendars, ensuring time allocation between facility operations, team meetings, and strategic business development.

Facility Coordination: Act as the liaison between the Founder and the Core+ management team, tracking action items from weekly meetings and ensuring project milestones for the facility are met.

Stakeholder Communication: Draft professional correspondence, manage email triage, and serve as the primary point of contact for high-profile partners, vendors, and investors.

Operations Support: Assist in drafting professional documents, SOPs, and marketing materials related to the "Core to Table" brand and facility services.

2. Clinical & Medical Practice Support (Physician Role)

Clinical Workflow Management: Manage patient intake, scheduling for consultations, and follow-up communication, ensuring a premium "concierge" experience for all patients.

Administrative Compliance: Manage medical documentation, coordinate lab test requests (e.g., DEXA, CPET results tracking), and maintain medical records with the highest standard of data privacy and HIPAA-equivalent confidentiality.

Resource Coordination: Manage the ordering of clinical supplies and ensure the physician’s medical equipment and credentials are updated and ready for consultation days.

3. Personal & Lifestyle Management

Travel & Logistics: Handle end-to-end travel logistics for family and professional trips, including itinerary planning and documentation.

Priority Management: Assist in personal errands that support the Founder’s ability to focus on high-level strategy (e.g., managing household/family schedules, coordinating with household staff like your driver).

Required Qualifications

Experience: Minimum 3–5 years in an EA role, preferably supporting a C-level executive or a medical professional. Experience in a luxury hospitality, wellness, or medical setting is a strong advantage.

Tech-Savvy: High proficiency in Google Workspace, project management tools and CRM software.

Medical Discretion: Absolute maturity and understanding of patient privacy (Data Privacy Act of 2012 compliance).

Communication: Exceptional written and verbal communication skills; ability to represent the Founder’s voice professionally.

Precision & Proactivity: Must be highly detail-oriented with the ability to anticipate needs before they arise (e.g., ensuring lab results are ready before a patient arrives, not during).

Logistical Flexibility: Ability to commute to the Rockwell facility 5 days a week, with the agility to shift to remote work for administrative tasks.

Pay: Php25,000.00 - Php30,000.00 per month

Work Location: Hybrid remote in Makati City
