Legal Services Coordinator

Arbour Group is looking for a full-time Legal Services Coordinator to join their client's organization, a leading elevator and escalator consulting and inspection firm in the U.S.

The Legal Services Coordinator plays a key role in supporting the VDA Legal Team by managing COI processing, overseeing state and local business licensing and registrations, and coordinating project-related legal tasks across multiple new and ongoing initiatives. This position handles a wide range of administrative responsibilities within the legal department, including project workflow management, system updates and maintenance, COI organization and renewals, tracking key deadlines and documentation, and facilitating communication and coordination across internal business units.

Key Responsibilities

  • Support project operations by requesting project specific Certificates of Insurance (COIs) following contract execution.
  • Issue, process, and track COI requests and renewals, including leading VDA’s annual COI renewal cycle.
  • Open and maintain project records in Salesforce for a variety of consulting engagements, ensuring all project information remains accurate and up to date.
  • Monitor and update parent company information within Salesforce as needed.
  • Oversee vendor and indemnification agreements within client portals, limited to insurance requirements and legal agreement review.
  • Lead the review of RFPs, focusing on contract terms and insurance requirements.
  • Process, review, and track non disclosure agreements.
  • Assist with monitoring, maintaining, and negotiating master service agreements.
  • Support the review and negotiation of client agreements, including evaluating client markups on VDA proposals.
  • Perform additional related duties as assigned to support the Legal Team’s operational needs.

Required Qualifications:

  • High school diploma, preferred bachelor’s degree, preferred paralegal certificate
  • 3+ years’ experience preferred

Preferred Qualifications:

  • Ability to review and markup contracts with a critical eye
  • Attention to detail and critical thinking
  • Ability to communicate effectively in-person, on the phone, and via teleconferencing both internally and with clients
  • General knowledge of the US Legal System
  • General knowledge of insurance processes
  • Knowledge of Microsoft Office, Excel, PowerPoint, Project, Outlook, Elevate
