Job Summary
We are seeking a highly organized and detail-oriented Office Support Specialist to manage day to day operations in our office environment. The ideal candidate will be responsible for supporting office functions, performing administrative tasks, and ensuring smooth office operations. This role requires excellent communication skills, attention to detail, and the ability to multitask in a fast-paced environment.
Responsibilities
- Perform daily data entry and maintain accurate records.
- Organize, file, and manage both electronic and physical records, maintaining efficient, searchable filing systems.
- Serve as the first point of contact for visitors, clients, and vendors by managing phone calls, emails, and in-person inquiries in a professional and welcoming manner.
- Coordinate calendars, schedule meetings, and arrange travel as required.
- Apply document-control practices (standardized naming, retention, access) and produce polished correspondence, reports, and spreadsheets.
- Maintain internal communications and standard operating procedures.
- Manage training schedules and track employee certifications to ensure timely completion and compliance.
- Collaborate with co-workers to identify and implement improvements to administrative processes, and document any changes made.
- Handle general office administrative tasks and special projects as assigned.
Qualifications
- Minimum 2+ years of administrative experience, preferably in a manufacturing environment.
- Demonstrated experience in an administrative or office management role.
- Strong organizational skills and meticulous attention to detail.
- Proficiency with Microsoft Office (Word, Excel, Outlook, PowerPoint).
- Excellent interpersonal and written/verbal communication skills.
- Proven ability to multitask and meet deadlines in a dynamic environment.
- Strong problem-solving skills and a proactive, ownership mindset.
- Flexibility and adaptability to handle a variety of daily priorities.
- Ability to work independently and collaboratively within a team.
- Experience with an ERP or inventory/order system (JobBOSS²) with accurate, high-volume data entry.
- Proficiency with shared drives and PDF tools; ability to produce clean, well-formatted documents and spreadsheets.
- Demonstrated ability to prioritize and follow through in a fast-moving shop/production setting.
