As we continue to grow, we are looking for a highly skilled, experienced, and self-driven **Office Administrator Manager** to become the operational cornerstone of our company.

About the Role:

This is a full-time position for someone who thrives in a fast-paced, professional environment. You’ll be responsible for overseeing all administrative operations, ensuring the smooth and efficient functioning of the office, and supporting the business with top-tier organizational and communication skills. We are looking for someone who is not just competent—but truly excellent at what they do.

Key Responsibilities:

- Manage and oversee all daily administrative operations of the office.

- Perform full-cycle bookkeeping using QuickBooks Online (A/P, A/R, bank reconciliation, basic payroll support, reporting).

- Handle all communication channels including emails, phone calls, and scheduling.

- Maintain office organization, supplies, filing systems, and project documents.

- Coordinate with clients, vendors, trade partners, and suppliers.

- Schedule and prepare for meetings, inspections, and site visits.

- Prepare and manage invoices, reports, and financial summaries.

- Maintain construction documentation including permits, contracts, and expense logs.

- Run occasional off-site errands or support external meetings as needed.

- Act as a key point of contact for internal and external stakeholders.

- Proactively anticipate needs and ensure everything in the office is running smoothly.

Required Qualifications & Skills:

- Minimum 5 years’ experience in a similar administrative or office management role.

- Advanced QuickBooks Online experience is essential.

- Strong bookkeeping and basic accounting/reporting skills.

- Excellent written and verbal communication abilities.

- Highly organized with superb time management and multitasking skills.

- Ability to work independently and make sound decisions under pressure.

- Comfortable with technology and systems—Microsoft Office Suite is a must; Buildertrend or construction software is a plus.

- Professional, detail-oriented, and reliable.

- Valid driver’s license and access to a vehicle for occasional off-site tasks.

Pay: $20.00-$30.00 per hour

Expected hours: No more than 40 per week
