Who We’re Looking For;
We are looking for a highly organised and proactive Office Manager who thrives in a fast-paced environment. You will take ownership of day-to-day office operations, ensuring a professional, efficient, and welcoming workplace for staff, visitors, and suppliers.
The ideal candidate is a strong multitasker with excellent communication skills, a hands-on approach, and the ability to manage competing priorities with ease. You will be confident coordinating with internal teams and external providers while maintaining high standards across office, facilities, and administrative functions.
This role also includes providing support to the CEO in a secretarial capacity, requiring discretion, reliability, and strong organisational skills.
Key Responsibilities;-
Reception & Office Management
- Manage front-of-house operations including calls, emails, visitor reception, and post handling.
- Maintain a professional and welcoming reception area.
- Oversee office supplies, cleaning, maintenance, and repairs.
- Coordinate training room facilities and support internal teams.
Operations & Supplier Management
- Manage supplier contracts (e.g. PPE, branded materials, printers) and purchasing.
- Coordinate PPE orders across the network, including sourcing, pricing, and logistics.
- Oversee printer systems, IT peripherals, and basic troubleshooting.
- Act as key contact for IT support providers.
- Maintain office access (keys, fobs, swipes).
Facilities/Office Building Management
- Liaise with building management and service providers.
- Oversee cleaning, security alarms, air conditioning, electrical systems, and kitchen equipment maintenance.
Administration
- Provide administrative support across departments and senior leadership as needed.
- Manage documentation and internal communications.
- Provide administrative and Executive Assistant support to the CEO as required.
Meetings & Events
- Organise travel, accommodation, meetings, and company events.
- Coordinate logistics including venues, catering, invitations, and materials.
- Support internal events, Business conferences, and team activities.
Other Duties
- Manage office sundries orders and other office supplies.
- Act as first point of contact for complaints, enquires and concerns.
- Support health & safety, fire safety, and compliance coordination.
Required Qualifications/Experience/Skills
- Strong organisational, communication, and interpersonal skills.
- Flexibility to travel occasionally if required.
- High level of professionalism and ability to work with various stake holders
- Ability to manage multiple tasks, prioritise workload, and meet deadlines.
- Proficient in IT systems and office tools.
- Ability to work independently and collaboratively.
- Strong problem-solving and decision-making skills.
