Position Overview:

The Accounts Payable Specialist is responsible for managing the full-cycle accounts payable (A/P) process, ensuring accuracy and efficiency in financial transactions. This role includes receiving, reviewing, entering, and submitting invoice payments while providing financial, administrative, and clerical support to the organization. The Accounts Payable Specialist also assists with compliance-related responsibilities, maintains accurate records, and collaborates with internal departments to support financial operations.

Essential Duties and Responsibilities:

  • Manage daily invoice processing to ensure efficient full-cycle A/P operations.
  • Accurately code expenses to the appropriate business location, department, and GL account.
  • Prepare and process electronic transfers and payments.
  • Research and resolve invoice discrepancies and issues.
  • Generate weekly check runs, print checks, and route them for signatures.
  • Track company credit card disbursement and spending; process credit account payments.
  • Maintain accounts payable files.
  • Submit accurate and timely quarterly and annual government filings.
  • Assist in the month-end close process.
  • Provide research and support for annual audit requests as required.
  • Assist other departments with various projects as needed.

Software and Applications:

  • Proficiency with Microsoft Office Suite (especially Excel).
  • Experience with TrinDocs, Navan, and Avalara (desired, but not required).
  • Experience with Positive Pay.

Enhanced Consideration:

  • Experience/Expertise with Accounts Payable process management, design, and improvement.

Physical Requirements:

  • Prolonged periods of sitting at a desk and working on a computer.
  • Occasional standing and walking to access files, office equipment, and interact with team members.
  • Must be able to lift up to 25 pounds at times.
  • Manual dexterity required to operate office equipment such as computers, keyboards, and phones.
