Job Summary:
We are seeking a highly organized and detail-oriented Administrative Officer to join our team. This role is crucial in ensuring the smooth financial operation of our firm, managing employee payroll, collaborating with our accountants, and supporting our design team with client and partner transactions. The ideal candidate will possess strong accounting and administrative skills, excellent communication abilities, and a proactive approach to problem-solving.
Responsibilities:
- Payroll Management: Manage the full payroll cycle for approximately 20+ employees, including processing timesheets, calculating wages and deductions, ensuring accurate and timely payments, and handling payroll-related inquiries.
- Financial Collaboration: Work closely with the company's external accountant, providing necessary documentation and information for accurate financial reporting, including income and expense tracking, bank reconciliations, and tax preparation.
- Client Billing Support: Assist designers with client billing, including preparing invoices, tracking payments, and following up on outstanding balances.
- Financial Record Keeping: Maintain accurate and organized financial records, both physical and digital.
- Administrative Support: Provide general administrative support to the office, including managing correspondence, scheduling meetings, and maintaining office supplies.
- Other duties: Perform other related duties as assigned.
Qualifications:
- Proven experience in payroll processing and basic accounting principles.
- Proficiency in Microsoft Office Suite and Google productivity tools (especially Excel and Google Sheets), Proficiency in accounting software (e.g., QuickBooks, Xero) is a plus.
- Strong organizational skills and attention to detail.
- Excellent communication and interpersonal skills.
- Ability to work independently and as part of a team.
- Ability to maintain confidentiality.
- Preferred: Associate's or Bachelor's degree in Accounting, Business Administration, or a related field.
- Preferred: Experience in the architecture, engineering, or construction industry.
