Job Summary
Assist the service manager in maintaining accurate, on-time reports and records relative to the service department’s operations, thus resulting in internal and external customer satisfaction and profitability. Help grow service labor sales and control expenses.
- Daily maintenance of time cards, warranty claims, and credits
- Opens work orders as directed by the Service Manager and maintain open work orders using equipment, hours, technicians, repair work and any other information needed
- Reviews all work orders for accuracy and completeness before submitting to the service manager for final review
- Directs incoming service related inquiries and scheduling requests to the service manager
- Work with the Service Manager in all aspects of the service department
- May fill in for the Service Manager in the Service Manager’s absence
- Maintains all filing and records for the service department
- Keeps necessary supplies on hand and reorders when needed
- Prepares customer invoices and takes payments when presented to the service office
- Represents VanWall Equipment with a professional and positive attitude. Strives to protect the dealership image in a positive light while promoting customer loyalty
- Reports any internal or external customer complaints to the Service Manager
- Consistently strive to improve knowledge and skills in order to stay up-to-date with industry trends
- Maintain confidentiality with internal and external information
- Be able to submit, track and resolve warranty claims
- Must obtain core training through JDU and keep it in good standing by continuing education with a minimum of one Q-Diagnostic class every 5 years
- Possess basic knowledge of accounting practices and financial principles relative to the Service Departments
- One year or more experience with service writing a plus
- Ability to use standard desktop applications such as Microsoft Office, Excel, and Internet Functions
- General understanding of mechanical & technical terms
- Knowledge of office procedures
- Ability to speak effectively one on one and in a group
- Familiar with John Deere and competitive products
- Maintain a positive attitude, be a team player and provide leadership within the Service Department
- Complete all duties as assigned
- High School Diploma or equivalent required
