What You'll Do
The Business Support Executive is the operational backbone of the Singapore office. This role provides leadership, coordination and on-the-ground execution across facilities, office services, workplace experience, compliance, events and HR coordination. The BSE ensures that the office functions seamlessly day-to-day while also contributing to strategic operational improvements across SEA.
1. Office Operations & Facilities Management
Operational Oversight
- Serve as the frontline supervisor for all onsite operations personnel (Facilities Management, Front-of-House
- Uphold and role-model professional behaviour, service etiquette and workplace presentation.
- Manage workplace allocation and changes using digital access systems (FR, HID, AppSpace, Vecos,
- Oversee Café, pantry, stationery, equipment maintenance and supplies.
- Attend to inbound enquiries from staff, visitors and fly-ins, ensuring smooth support.
- Manage vendor relationships to ensure service quality and commercial competitiveness.
- Maintain office insurance policies (all-risk, public liability, etc.) and coordinate annual renewals.
Vendor, Contract & Asset Management
- Manage vendor relationships for items outside JLL scope, including sourcing quotes and coordinating
- Facilitate payment approval of local vendor invoices.
- Maintain office equipment inventory, including landline extension management, staff movement updates and
system clean-up.
Safety, Security & Compliance
- Co-lead safety and security exercises: IRT tabletop, Everbridge tests and emergency procedures.
- Support updates to local crisis management plans and fire drill coordination.
- Oversee mobility/security entries for staff and fly-ins (60–80 entries monthly).
- Ensure digital access and mobility systems remain accurate and audit-ready at all times.
2. Workplace Experience & Office Culture
- Maintain high service and hospitality standards aligned with Singapore office expectations.
- Coordinate farewell, welcome, milestone and recognition gifts across business units.
- Support internal communications updates for office directories, contacts and social channels.
3. HR Coordination & Data Management
- Oversee operations dashboards.
- Support onboarding and offboarding: digital access, workspace preparation, induction coordination and exit
- Maintain access systems: removal of leavers, monthly exit audit of HRID.
- Process AMEX new corporate card applications and maintain platform records (5–10 monthly).
4. Events, Meetings & Special Projects
- Assist and coordinate internal/external events (All Hands, WWOM, Town Halls).
- Resolve logistical issues efficiently and uphold event standards.
5. Annual & Ad-Hoc Reporting
- Prepare and support any global reporting requirements (E.g. Origami Risk, Non-US Forms, COPE, BCG Security
Survey, Energy Survey Updates and any others).
What You'll Bring
- A bachelor’s degree in Business or any related field.
- At least 4 years of relevant experience, ideally in a professional services environment or in roles involving
- Strong service mindset, professionalism and attention to detail.
- Strong written and verbal communication skills, with the ability to engage confidently and professionally across
- A collaborative team player who can also operate independently, exercising good judgment, initiative and
- A service-oriented mindset with a genuine commitment to delivering high-quality support and workplace
- Experience in office operations, facilities management or workplace experience roles.
- Confidence managing vendors and supervising day-to-day onsite teams.
- Consistently upholds strong ethics, discretion and high standards of behaviour, especially in sensitive or high-
- Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Outlook, with the ability to learn new systems
quickly.
