Clerk A - Licensing & Bylaw Enforcement Summer Temp

Under the general supervision of the Coordinator for Field Operations, Clerk A provides administrative support to the division’s Seasonal Support Unit, Bylaw Support Workers, Senior Clerk, supervisors and divisional managers, as needed. As part of the clerical team for Licensing & Bylaw Enforcement (LBE), some additional duties in customer service and business licensing will be performed as operationally necessary.

As the Clerk A, you will:

  • Check and respond to incoming emails. Answer, screen, and direct incoming phone calls.
  • File documents in physical and digital filing systems.
  • Schedule and confirm appointments and meetings.
  • Update and manage databases and record systems.
  • Assist in the preparation of regularly scheduled reports.
  • Ability to liaise with all staff including executive and senior administrative staff.
  • Operate office equipment such as printers, scanners, and fax machines.
  • Handle sensitive information in a confidential manner.
  • Process, distribute, and dispatch mail packages.
  • Carry out administrative duties such as typing, copying, binding, and scanning.
  • Maintain employee and customer records.
  • Handle customer inquiries and complaints.
  • Prepare letters and documents.
  • Perform data entry tasks.
  • Proofread and edit documents for accuracy.
  • Perform other related work consistent with the classification

Your education and qualifications include:

  • High School graduation with formal training in business office procedures or an equivalent of training and experience.
  • Demonstrated ability to communicate effectively both verbally and in writing and to meet and deal with a variety of people under varying conditions.
  • Demonstrated basic proficiency in the use of Word, Excel and Outlook.
  • Demonstrated ability to deal effectively and courteously with the public, in varying circumstances, both in person and over the telephone.
  • Demonstrated ability to establish and maintain positive working relationships with employees at all levels of the organization, in accordance with the Respectful Workplace Policy.
  • Knowledge of general office practices and procedures.
  • Demonstrated ability to function effectively in a team environment, and deal with people at all levels in a courteous and tactful manner in accordance with departmental guidelines.
  • Type accurately at 40 wpm
  • Demonstrated basic proficiency in the use of Word, Excel and Outlook.
  • Demonstrated ability to work under minimal supervision.
  • Ability to work under stressful situations due to time pressure and very high volume of work in a multi-task environment.
  • Ability to acquire working knowledge of the AMANDA data system within 3 months.
