About the Role:
We are seeking a dedicated and highly organised administrator to join our Women's Health Administration team. This role is a front facing role and we are looking for someone with excellent customer service skills, as well as, accurate data entry. This is a high-volume service looking after our Gynae Assessment Unit. As an Administrator, Clinical, you will play a critical role in supporting Waitaha Canterbury's Women's Health services. Guided by the Team Leader, Service Manager, and Clinical Director/Triaging Clinician, you will ensure adherence to booking practices in line with Ministry of Health (MoH) targets and standards. Your work will help provide timely, efficient, and patient-focused healthcare delivery.
As part of the Administration and Clerical Pay Equity Claim settlement this role has been mapped to National Band 4/Profile 4 Step 1 to 3 (final placement step is dependent on skills, knowledge and experience)

Key Responsibilities:
1. Customer Service
- Deliver exceptional customer service to patients, clinicians, and others accessing our services.
- Always maintain confidentiality and privacy.
2. Front of House Duties
- Manage patient arrival and departure for Gynae Assessment Unit.
- Update patient demographics in the management system.
- Promptly refer unwell or infirm patients to nursing staff.
3. Patient Management Systems & Processes
- Ensure accurate and timely data entry and booking.
- Follow MoH and Waitaha Canterbury Elective Services guidelines (Orange Book V3).
4. Referral Management
- Ensure all referrals are loaded accurately onto the system.
- Manage surgical patients, inpatients and outpatients in alignment with service requirements.
5. Communication
- Exhibit professional and proactive communication.
- Maintain a collaborative and supportive environment for the clinical team.
About you
Essential:
- Strong customer service and communication skills.
- Empathetic and compassionate approach
- High level of accuracy, attention to detail, and time management.
- Proficiency in Microsoft Office (Word, Excel, Outlook).
- Ability to work both independently and collaboratively as part of a team.
- Proven ability to manage and coordinate multiple tasks effectively.
- Flexible approach with a can do attitude
Desirable:
- Broad administrative experience in a healthcare environment.
- Awareness of diverse cultural backgrounds and a commitment to culturally appropriate care.
- Customer Service experience.
- Knowledge of medical terminology and familiarity with public hospital systems, including patient management systems.
