Finance Coordinator

Finance Coordinator (Part Time, Permanent, 2-2.5 days)

The Finance Coordinator will report to the Chief Executive and have day-to-day operational responsibility for FLAC’s finances. This involves managing daily financial operations, records, reporting, handling accounts payable/receivable, processing invoices/expenses, reconciling accounts, assisting with budgets, as well as ensuring compliance, processing payroll, preparing financial reports for FLAC’s board and liaising with the auditors about the organisation’s annual audit.

Key Responsibilities

· Financial Administration

o Processing of invoices, bank payments and grants payments

o Monthly book-keeping in Sage

o Recording all income and expenditure to ensure budgets are in line with agreements

o Staff expenses and petty cash management

o Monthly bank reconciliations

o Monthly ROS payments

o Implementation of financial procedures

· Payroll - process employee payments, ensure accuracy and timely delivery by managing payroll data, calculating wages, handling deductions (taxes, benefits, pensions), and maintain compliance with financial regulations and company policy. Act as a key liaison who resolves employee’s pay-related queries and work with HR to ensure smooth operations.

o Processing: Running weekly or monthly payroll, processing starters, leavers, and changes

o Data Management: Maintaining accurate employee records in the payroll system

o Compliance: Ensuring adherence to tax laws, Revenue, and statutory requirements

o Query Resolution: Answering employee and stakeholder questions about pay, deductions, and policies

o Reporting & Reconciliation: Preparing payroll reports and reconciling accounts

o Audits: Assisting with internal and external payroll audits

· Interacting and informing FLAC’s Board and its Finance and Audit Sub Committee

· Prepare a regular financial report which will be furnished to the Finance and Audit Committee in advance of board meetings so that FLAC’s board has regular and timely information on which to base operational and policy decisions

· Attend meetings of the Finance and Audit Committee

· Annual Audits

o Liaise with the accountants and preparing for in the annual audit

· Grant management:

o Support the Chief Executive with the financial aspect of grant applications

o After fund approval, monitor funding is spent in accordance with the fund rules

o Responsible for all follow up regarding the funding

o Process payments and purchases as they relate to the funding

· Reporting

· Monitor grant expenditure and regular reviews of the process with the programme co-ordinators/Director

· Support the programme coordinator/Director during the review with the funding partners

· Connect with funders for support

· Responsible for the financial reporting to the Board/Council

Required Skills

· Ability to work with SAGE

· Numeracy & Detail: Strong attention to detail and mathematical ability

· Software: Familiarity with payroll systems (e.g., SAP, ADP)

· Compliance: Understanding of employment law and tax regulations

· Communication: Ability to explain complex information clearly

· Organisation: Managing deadlines and competing priorities

· 3 years bookkeeping or finance administration experience

· Proficiency in MS Office (Excel) and accounting software (e.g., QuickBooks).

· High attention to detail, strong organizational skills, analytical ability, good communication, and teamwork

· Knowledge of financial software to support overall financial health and team efficiency

Preferred Skills

· Experience of working with and NGO/charity is desirable

· Experience of dealing with SORP is also desirable

· Experience working with legal casework accounts is also desirable

FLAC (Free Legal Advice Centres) is an independent legal, human rights and equality organisation, which works in a number of different ways to promote equal access to justice through our Telephone Information and Referral Line and Phone Legal Advice Clinics, our independent law centre which provides targeted legal services for the Traveller and Roma communities, and also undertakes public interest litigation. FLAC also makes policy recommendations in relation to areas of law that most impact on people living in poverty and disadvantage, including equality and anti-discrimination law, social welfare law, housing law, human rights law, and access to justice.
