Fleet Manager

Mana Group Holdings Limited is seeking an experienced and highly organised Fleet Manager to oversee the operational readiness, compliance, and utilisation of our fleet based in Queenstown. This position carries responsibility for coordinating maintenance, managing regulatory compliance, supervising vehicle scheduling, and ensuring fleet performance meets company standards. Mechanical qualifications are not required for this role. The position requires decision making, problem solving, and operational oversight consistent with a skill level three occupation.

Key Responsibilities

● Fleet Oversight: Take responsibility for the condition, performance, and operational availability of all company vehicles while ensuring compliance with New Zealand transport standards.

● Weekly Inspections: Complete and maintain a structured weekly vehicle checklist to verify road readiness and identify issues requiring action.

● Maintenance Coordination: Plan, schedule, and authorise servicing, repairs, and maintenance with approved workshops while managing downtime and service priorities.

● Compliance Management: Oversee and maintain full compliance for registrations, warrants of fitness, road user charges, and any other regulatory requirements.

● Insurance Management: Manage insurance processes including incident intake, claim preparation, documentation, communication with insurers, and resolution.

● Fleet Scheduling: Coordinate the daily and weekly allocation of vehicles across drivers and operational teams to maximise utilisation and efficiency.

● Record Keeping: Maintain complete and accurate service logs, compliance reports, fleet documentation, and operational records.

● Communication: Liaise with workshops, insurers, drivers, depot staff, and management to coordinate fleet repairs, replacements, and operational decisions.

● Reporting: Provide structured weekly reports regarding fleet condition, compliance deadlines, insurance claim status, and operational risks.

● Operational Support: Recommend improvements to fleet systems, servicing schedules, cost management, and vehicle replacement planning.

Requirements

● Strong organisational and administration skills with high attention to detail

● Clear and confident communication with drivers, workshops, insurers, and management

● Proven ability to manage deadlines and coordinate multiple operational processes

● Competence with spreadsheets, fleet management tools, and digital record keeping

● Reliability and ability to work independently with responsibility over daily decisions

● Demonstrated experience in transport, fleet, logistics, or compliance coordination

● Must be able to pass a drug and alcohol test, consent to MOJ and other checks

Preferred Qualifications

● Experience in fleet coordination, dispatch, transport operations, or insurance administration

● Knowledge of New Zealand transport compliance including rego, WOF, and RUCs

● Understanding of workshop processes and insurance claims handling

● Experience supervising scheduling or vehicle allocation

Working Conditions

● Occasional early morning or weekend availability depending on operational needs

● Visits to workshops, depots, and fleet locations around Queenstown

● Combination of office based work and outdoor fleet inspections
