Based in our new Centre of Excellence clinical facility in Dublin, Ireland, we are seeking a Front of House Receptionist.This role will be based in Carrickmines. This full -time role is for an experienced Front of House Receptionist to manage reception and administration duties to ensure the smooth operation of a busy Occupational Health Consultancy Clinic.
You will be an organised and experienced individual who is ambitious and ready to embrace the Clinic and look after the Clinicians and our Clients.
You will be an excellent communicator, team player, enthusiastic, empathetic and professional. A strong work ethic and flexibility is a key. You will have excellent customer service and team-working skills, and ideally have experience working in a busy, people-facing healthcare environment. You will assist and direct clients in the Clinic and project a positive and welcoming image.
The successful candidate will:
· Be a Brand Ambassador and first point of contact for all clients to the Clinic
· Ensure the smooth running of the overall day-to-day operations of the clinic
· Be expected to open and close the Clinic
· Manage effectively a busy phone and email system
· Be responsible for operating the appointments system and payments including end-of-day reconciliation
· Liaise with the Cork Clinic as needed
· Complete all administrative duties accurately and in a timely manner including filing, photocopying and scanning
· Have high standards in relation to being the first point of contact and the first impression of the Clinic for new and existing clients
· Strong customer service orientation, responding quickly and appropriately to customer needs
· Strive to ensure that our clients receive a consistently excellent service during every visit
· Quickly address client inquiries and properly referring them to the appropriate resources
· Manage and coordinate the diaries of all medical staff using the medical management software
· Support Clinical staff in the efficient running of the clinic on a day to day basis
· Minimise any service delays, identifying and implementing improvements as needed
· Communicate effectively and securely with clients in accordance with the Data Protection Act and GDPR Regulations
· Be a confident communicator with excellent interpersonal skills with clients and the team
· Take pride in the work environment and strive to always make an impression.
· Be actively involved in achieving the business goals and developing the clinic
· Ensuring the reception and all patient areas are clean and up to standard for our clients at all times
· Ensure all clinical staff have necessary data, documentation and information for all appointments
· Have cash management and stock control experience
· Ensuring efficient filing systems are in place and GDPR compliant
Skills and Qualifications:
The successful candidate will have a proven record demonstrating the following characteristics:
· At least 5+ years’ experience in a similar role
· Positivity, enthusiasm and a ‘can do’ attitude with ability to work well in a team
· Passion for people and ability to quickly build rapport
· Strong drive to succeed with a sense of urgency, and ability to plan and manage time effectively to meet deadlines and goals.
· Learning and leading by example
· Strong listening and communication skills
· Responsiveness and adaptability to change
· Meticulous attention to detail while
· Be able to work under pressure in a highly confidential and discrete environment
· Possess exceptional communication skills and be professional, responsible,
presentable and dependable at all times
· Have a proven track record of a level of expertise in MS office (Word, Excel and Outlook)
· Fluent English, written & spoken, is essential for this role
· Experience in Meddbase system is a plus
