Why this role matters

This role is a pivotal front-of-house and administration position, combining a professional reception presence with administrative support in our Gold Coast office. As the first point of contact for clients, visitors and callers, you will set the tone for the Vincents experience while also supporting two Directors to deliver high-quality client outcomes.

The role is ideal for someone who thrives in a client-facing environment, enjoys responsibility, and takes pride in keeping both the front office and administration running seamlessly.

What you’ll do

Be the welcoming face of the firm, managing reception, incoming calls, visitors, meeting rooms, and ensuring a professional front-of-house experience at all times

Provide end-to-end administrative support across the client lifecycle, including onboarding/offboarding, CRM updates, client matter files and assist with client correspondence

Assist with compliance and documentation tasks such as ATO registrations (ABN, TFN, GST) and assist with ASIC and ATO liaison, billing support and preparation of financial statements and tax returns

Build strong internal relationships, support firm initiatives and events, and contribute to continuous improvement and a positive team culture

What you’ll bring

Proven experience in a reception/front office or administration role, ideally within professional services, accounting or financial advisory environments

Strong administrative capability with exceptional attention to detail and the ability to manage competing priorities with confidence

High level of professionalism, discretion and commitment to delivering outstanding client service

A proactive, collaborative mindset with the ability to work autonomously while supporting a busy team and managing upwards when needed

Proficiency in Microsoft 365, with experience using CRMs, APS, CAS, DocuSign or similar systems highly regarded
