We have an immediate opportunity at DORA Construction Ltd for a
Opportunity- Front Office Coordinator
Position Responsibilities:
*Including but not limited to:
- Greet and welcome visitors with a warm and professional demeanor, ensuring their needs are met and they feel comfortable in our office environment.
- Manage incoming phone calls, directing them to the appropriate parties and taking messages as needed.
- Assist with scheduling and coordinating meetings in the main boardroom and other meeting rooms, ensuring they are properly set up and tidied after use.
- Support internal staff by helping them locate resources, answering questions, and providing general assistance as needed.
- Maintain a tidy and organized reception, kitchen and office area, ensuring it is always presentable and inviting to visitors and staff.
- Ensure prompt distribution of mail (in person or via scanning the documents) and prepare outgoing mail, along with organizing any couriers.
- Drafting supply orders for approval, for office, stationery, kitchen supplies and maintain inventory list.
- Coordinate staff safety training, ensuring designated training requirements are met.
- Maintain training records in SharePoint and Procore, keeping files updated.
- Communicate safety training schedules and requirements to employees.
- Assist in preparing safety reports and documentation to support compliance, copying and filing.
- Prepare safety files for site.
Qualifications:
- Degree in Hospitality, Business Administrator or a combination of education and experience.
- Prior experience in a receptionist or customer service role, preferably in a hospitality or service-oriented environment.
- Experience with basic accounting would be considered an asset.
- Excellent interpersonal and communication skills, both written and verbal.
- Strong organizational and multitasking abilities, with a keen eye for detail.
- Proficiency in Microsoft Office Suite and general office equipment.
- A positive, friendly attitude and a genuine desire to provide exceptional service to both visitors and colleagues.
- Ability to work independently and as part of a team in a fast-paced environment.
