We are now recruiting for a Junior Health and Safety Officer at our SMARTPLY site in Waterford.
ROLE:
This role supports the Health & Safety function at the SmartPly site by keeping our safety systems accurate, visible, and audit ready. You’ll help ensure that safety processes, documentation, reporting, and communications are timely and aligned with SmartPly governance and legal compliance requirements. Working closely with the H&S Officers and Operations teams, you’ll help embed consistent safety processes across the organisation.
KEY RESPONSIBILITIES:
- Maintain the risk assessment schedule, review cycles, versions, and documentation.
- Ensure risk assessments are stored, traceable, controlled, and accessible.
- Log actions arising from assessments, assign owners, and track to closure.
- Log, classify, and track all reports; escalate issues where required.
- Maintain visibility for H&S Officers and Operations.
- Provide close-out tracking and regular trend summaries for H&S meetings and safety campaigns.
- Maintain the corrective action tracker and follow up with action owners.
- Verify closure evidence is adequate and complete for audit readiness.
- Support internal and external audits (HSA, ISO, insurer) with evidence packs.
- Maintain the site compliance register, tracking new/updated legislation.
- Control versions of procedures, RA records, and compliance evidence.
- Translate legal/licence changes into documented actions, owners and due dates, and track to completion.
- Support statutory accident and dangerous occurrence reporting (HSA notifications).
- Assist with investigation packs (statements, evidence, RCA, corrective actions).
- Handle incident/medical information in line with data protection and record retention requirements.
- Maintain and publish H&S KPIs, dashboards and weekly/monthly reporting.
- Coordinate toolbox talk materials, internal messaging, and digital noticeboards.
- Schedule meetings, prepare agendas, take minutes, and issue action logs with follow-up.
- Maintain emergency response plan documentation and drill records.
- Support contractor/visitor induction compliance and badging processes.
- Help ensure access control requirements are met.
QUALIFICATIONS & EXPERIENCE REQUIRED:
- Occupational Safety & Health qualification
- 2 years minimum recent relevant experience in a similar administrative role
- Experience in H&S, Quality, Compliance or document-controlled environments preferred.
- Exposure to risk assessment processes, incident reporting or audit documentation is an advantage.
- Experience with controlled records, confidentiality and sensitive information handling.
