Purpose of role:
Provide general office administration support to ensure smooth operations at the Singapore site, including daily office and building management. Support Leadership Team (LT) roles with travel, meetings, diary management, and expense administration. Coordinate travel bookings for the wider team. Partner with People & Culture and ELC to support employee events, town halls, benefits, and wellbeing initiatives. Manage cost‑effective procurement of office and pantry consumables. Act as the on‑site contact for contractor coordination, access management, and supervision of maintenance activities
Responsibilities include:
Office Administration
Manage office equipment and supplies, including stationery, pantry items, courier services, and mail distribution.
Liaise with building management, external contractors, and office service providers; approve invoices for office and facilities services.
Ensure cleanliness, security, and readiness of office premises, meeting rooms, and work areas.
Review office space utilisation and support reconfiguration, moves, or renovations to optimise space usage.
Act as site fire warden and first ‑ aid contact, and support on ‑ site staff and overseas visitors.
Support to Singapore & Regional Teams
Provide travel, meeting, and general administrative support for the team.
Act as the main point of contact with the Travel Management Company to obtain quotations and arrange visas, flights, hotels, transport, meeting rooms, and itineraries.
Coordinate regional meetings, webinars, conferences, and events.
Manage expenses and administrative systems related to travel, office events, and site management.
Liaise with Global teams to compile and maintain up ‑ to ‑ date information and contacts across Asia markets.
Ensure all travel, office management, and business expenses comply with global policies and procedures.
Support the Singapore sales team and provide ad ‑ hoc regional administrative and coordination support as required.
Support for any Ad-hoc events, Conferences, Town Halls and Employee Engagement Activities:
Sourcing and negotiating for best rates to ensure cost efficiency
Liaise with hotels & catering company for accommodation & food
Partner with P&C & ELC on employee engagement events and office initiatives to create a positive working environment
Support P&C as required with administration of employee benefits - eg management of any product incentive initiatives.
Support SG local sales team with any event planning activities
Who are you?
Experience working in a matrix FMCG multinational organization with strong corporate office administration expertise.
Proven ability to engage professionally with employees at all levels, including Executive Leaders and Senior Managers.
Confident operating across multiple markets and cultures with diverse stakeholders.
Strong interpersonal and communication skills, with the ability to anticipate and adapt communication needs.
Demonstrated ability to ensure compliance with corporate policies, procedures, and governance standards.
Highly organised, able to prioritise effectively, remain calm under pressure, and solve problems pragmatically.
Flexible and dependable team player who values wellbeing and can support critical meetings and overseas visitors.
Excellent IT skills; fluent in spoken and written English, with an additional second language is a plus
