Position Summary:

The Office Administrator and Receptionist play a pivotal role in ensuring the smooth operation of a Body Mechanic. This position combines administrative tasks with front desk responsibilities to provide exceptional customer service to patients while efficiently managing administrative duties.

Key Responsibilities:

1. Reception Duties:

- Greet patients and visitors warmly and ensure they feel welcome.

- Manage incoming calls and emails, directing inquiries to the appropriate personnel.

- Schedule appointments and manage the appointment calendar efficiently.

- Verify patient information and insurance details accurately.

- Handle patient check-in and check-out procedures efficiently, ensuring all necessary paperwork is completed.

2. Administrative Support:

- Maintain patient records and ensure they are accurate and up-to-date.

- Handle billing and insurance claims, including verifying coverage and processing payments.

- Coordinate with healthcare providers and insurance companies as necessary.

- Manage inventory of office and clinic supplies, ensuring adequate stock levels.

- Assist with basic accounting tasks, such as invoicing and petty cash management.

3. Office Management:

- Ensure the reception area and waiting room are clean, organized, and welcoming.

- Coordinate maintenance and repairs for office equipment and facilities.

- Assist in maintaining compliance with healthcare regulations and clinic policies.

- Manage incoming and outgoing mail and packages.

- Perform other tasks and reports that may involve overall employee relations or general administrative activities.

4. Patient Support:

- Provide information to patients regarding clinic services, procedures, and policies.

- Address patient concerns and inquiries promptly and professionally.

- Assist patients with completing necessary forms and paperwork.

5. Team Collaboration:

- Collaborate with therapists and other clinic staff to ensure seamless patient care.

- Communicate effectively with colleagues to relay important information or updates.

Qualifications and Skills:

- High school diploma or equivalent; additional education or training in healthcare administration is a plus.

- Previous experience in a medical office or healthcare setting preferred.

- Strong communication and interpersonal skills, with a friendly and professional demeanor.

- Excellent organizational and multitasking abilities.

- Proficiency in using computer software such as Microsoft Office and electronic medical records systems.

- Ability to maintain confidentiality and handle sensitive information with discretion.

- Knowledge of medical terminology and billing procedures is advantageous.
