The Role:

We are recruiting for an Office Coordinator in our New York office based in Midtown. The role is part-time and will be office based 3 days per week.

What You Will Do:

  • Main IMGA point of contact for landlord and building services within office
  • Main contact for all external suppliers (including printers, couriers and storage) and responsibility for managing procedures for each
  • Administration support for select senior managers – travel, diary management and expenses submission
  • Responsible for meeting space scheduling within the building and guest access
  • Assisting with organizing company meetings, the summer and Holiday parties, as well as any ad-hoc company or social events in conjunction with the Operations Team and booking travel and accommodation when necessary
  • Procurement of stationery, furniture & technology equipment in conjunction with Operations Team
  • Coordinating office maintenance and repairs with building services when necessary and overseeing general upkeep of the office space
  • Responsibility for ordering office and kitchen supplies and keeping track of budgets for these
  • Key contact for communicating IT issues with the IT Consultant and ordering and setting up IT equipment
  • Responsibility for Health & Safety in the office and ensuring applicable accreditation is up to date
  • Organizing mail and external couriers when required
  • Support benefits administration, open enrollment, and leave tracking
  • Assist with compliance related to federal, state, and local employment laws
  • Participate in projects, audits, and process improvements as needed
  • Collaborate on onboarding and offboarding processes to create a seamless experience for employees.

What We Are Looking For:

  • Proven experience in office management or administrative roles.
  • Experience with making travel arrangements and managing travel and business-related expenses within an organization
  • Excellent organization skills and the ability to multi-task effectively, prioritizing where necessary
  • Excellent eye for detail
  • A professional command of the English language, both written and spoken
  • Confidentiality is essential due to the sensitivity of various projects, as is a high degree of empathy
  • Professional manner and demeanor
  • Proficiency with Microsoft Office
  • The ability to interact effectively with colleagues and clients at all levels
  • Enthusiastic, positive and willing to learn and question processes to ensure maximum efficiency
  • A self-starter who is confident to use own initiative
  • A good level of common sense, organization and lateral thinking are essential
  • The ideal candidate would be someone who is comfortable working on a variety of projects, is interested and has a genuine want to be helpful.

This is a part-time role working 3 days per week (24 hours) from the office premises. Salary between $35,000 to $37,500 per annum depending on experience.
