Office Manager

Job Title: Office Manager

Overview: Join our dynamic team as the Office Manager for our thriving lawn and landscape company. We are seeking a highly organized and detail-oriented individual to oversee the administrative operations of our office. The Office Manager will play a pivotal role in ensuring smooth day-to-day functioning, managing communication channels, coordinating schedules, and supporting various departments within the company.

*This position has the possibility of becoming full time.

Responsibilities:

Administrative Oversight

  • Manage all administrative tasks efficiently, including answering phone calls, responding to emails, and handling correspondence.
  • Maintain organized filing systems for contracts, invoices, client information, and other essential documents.
  • Oversee office supplies inventory and order supplies as needed to ensure seamless operations.

Customer Relations

  • Serve as the primary point of contact for customer inquiries, providing exceptional customer service and addressing concerns promptly.
  • Schedule client appointments, consultations, and service calls in coordination with field staff.
  • Ensure timely and accurate invoicing and payment processing, maintaining meticulous records of transactions.

Scheduling and Coordination

  • Coordinate daily schedules for field crews, ensuring optimal allocation of resources and timely completion of projects.
  • Communicate effectively with team members to relay important information, updates, and changes in schedules or tasks.
  • Assist in the planning and organization of special events, promotions, and community outreach initiatives.

Financial Management

  • Assist with accounts receivable and accounts payable processes, reconciling invoices and payments.
  • Collaborate with management to develop and maintain budgetary guidelines and expense tracking procedures.
  • Prepare financial reports, forecasts, and analyses to support decision-making and strategic planning efforts.

Human Resources Support

  • Assist with the recruitment and onboarding process for new employees, including posting job openings, scheduling interviews, and completing new hire paperwork.
  • Maintain employee records and ensure compliance with company policies, procedures, and regulatory requirements.
  • Facilitate communication between management and staff regarding HR-related matters, benefits administration, and performance evaluations.

Qualifications:

  • Proven experience in office administration, preferably in the landscape or related industry.
  • Strong organizational skills with the ability to multitask and prioritize tasks effectively.
  • Excellent communication and interpersonal abilities, with a customer-focused approach.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with accounting software (e.g., QuickBooks).
  • Familiarity with HR processes and basic understanding of employment laws and regulations.
  • Detail-oriented mindset with a commitment to accuracy and quality in all aspects of work.
  • Ability to work independently as well as collaboratively within a team environment.
  • College Degree or 4 years of experience; additional qualifications in business administration or related fields preferred.
