Office Manager / Bookkeeper

Job Summary
We are seeking a highly organized and proactive Office Manager / Bookkeeper to oversee daily office operations and manage financial records. The ideal candidate will possess strong administrative, bookkeeping, and team management skills, with experience in construction office environments. This role requires excellent communication, organizational abilities, and proficiency in various office management tools to ensure smooth business operations and effective team coordination.

Duties

  • Manage day-to-day office operations, including front desk responsibilities and multi-line phone systems
  • Oversee scheduling management for staff, appointments, and meetings using calendar management tools
  • Handle bookkeeping tasks using QuickBooks, including invoicing, expense tracking, and financial reporting
  • Manage vendor relationships with QuickBooks and coordinate procurement of supplies and services
  • Supervise administrative staff and coordinate training & development initiatives
  • Assist with human resources functions such as payroll processing, employee records management, and onboarding
  • Plan and coordinate events related to office activities or company functions
  • Maintain filing systems, perform clerical tasks, and ensure documentation accuracy
  • Oversee budgeting processes and monitor financial performance against targets
  • Ensure compliance with office policies, procedures, and safety protocols

Skills

  • Proven experience in office management, administrative support, or clerical roles with strong organizational skills
  • Proficiency in QuickBooks for bookkeeping and payroll processing
  • Experience in event planning and vendor management
  • Supervising experience with team management capabilities
  • Knowledge of human resources functions including payroll administration and employee onboarding
  • Strong communication skills with excellent phone etiquette and client interaction abilities
  • Ability to manage schedules effectively and handle calendar coordination
  • Familiarity with medical office management (preferred) but not required
  • Competence in filing systems, front desk operations, and multi-line phone systems
  • Demonstrated ability to multitask efficiently in a fast-paced environment
  • Training & development skills to support staff growth and performance improvement

Job Type: Full-time

Pay: $12.50 - $15.50 per hour
