Job Summary:
The Office Manager will oversee the administrative and operational functions of the OSCE (Objective Structured Clinical Exam) review center, with a focus on maintaining the OSCE Skills Laboratory and execution of the OSCE testing processes. This individual will act as the main point of contact for students, staff, and management, ensuring that the day-to-day activities of the center are executed efficiently in line with established protocols and goals of the organization. The Office Manager will be responsible for overseeing equipment inventory, maintaining the office, managing students, and delivering timely reports to the management team. This role requires a detail-oriented, trustworthy, and professional individual with strong organizational and communication skills.
Duties and Responsibilities:
1. The Office Manager is responsible for overseeing the setup and maintenance of the OSCE Skills Laboratory to meet clinical testing standards, ensuring that all lab equipment and materials are available, functional, and sanitized for testing sessions
2. The Office Manager will conduct regular inventories and submit monthly reports on the condition of laboratory equipment, office supplies, and materials, accompanied by an inventory monitoring system for identifying needs that require restocking or replacement. This will ensure that all equipment remains functional and compliant with safety standards. 3. The Office Manager will be responsible for tracking repair requests, ensuring compliance with specifications, minimizing costs, managing liquidation reports, and overseeing the timely delivery of items by coordinating with suppliers and key personnel.
4. He/she will serve as the primary point of contact for students at the OSCE review center, addressing inquiries and ensuring an excellent testing experience by providing timely responses, enforcing adherence to center rules and safety protocols, and offering additional support as needed.
5. The Office Manager will handle all correspondence between the management team, students, and external stakeholders while coordinating with key departments and personnel to facilitate the smooth flow of testing and review operations.
6. The Office Manager will also ensure the proper filing of records, reports, and inventory logs in both physical and electronic formats.
7. The Office Manager will compile and submit timely reports, updates, and operational enhancements to the management team regarding inventory levels, equipment conditions, and student performance, providing insights and recommendations while ensuring that all stakeholders are informed.
8. The Office Manager will assist in organizing and coordinating events such as review sessions, workshops, ensuring that all logistical details are handled efficiently.
9. Perform any ad hoc projects or initiatives assigned by the management team, adapting to the evolving needs of the OSCE review center.
Minimum Requirement
● Bachelor's degree in Business, Office Administration, Management, or a related field preferred.
● At least 1 year of experience in office administration or management.
● Proficiency in verbal and written communication skills.
● Strong organizational and multitasking abilities
● Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and other office software.
● Experience in inventory management and report generation.
● Trustworthy, with strong problem-solving skills and a proactive approach to operational management.
● Ability to work independently, with minimal supervision, while maintaining a high level of professionalism.
Job Types: Full-time, Permanent
Pay: Php25,000.00 - Php30,000.00 per month
