Office Manager (Operations Focus)

About the Role
Royal Wood Design is seeking an organized, confident Office Manager to oversee daily office operations and keep projects moving smoothly from sale to installation.
This role exists so the owner can focus on sales and growth while you manage scheduling, coordination, and administrative execution.
This is not an entry-level administrative position. You will be responsible for controlling workflow, maintaining accuracy, and ensuring clear communication between customers and crews.
If you prefer being told exactly what to do each day or avoiding difficult conversations, this role will not be a fit.
What You Will OwnOperations & Scheduling
- Maintain the master production and installation calendar
- Coordinate job flow between shop, finishing, and installation teams
- Confirm installation dates with customers in writing
- Identify scheduling conflicts early and escalate when required
Customer Coordination
- Answer inbound calls and emails
- Book sales consultations
- Enforce customer readiness requirements prior to installation
- Maintain professional, clear communication at all times
Contracts, CRM & Payment Tracking
- Send contracts and track signed agreements
- Monitor deposits and payment milestones
- Maintain accurate CRM records from first inquiry to project completion
- Ensure no leads, follow-ups, or job updates fall through the cracks
Time Tracking & Payroll Preparation
- Track employee hours, sick time, and approved leave
- Prepare accurate weekly payroll summaries
- Flag discrepancies or recurring issues for review
Marketing & Post-Sale Follow-Up
- Post approved social media content
- Collect project photos
- Request customer reviews after installation
- Send post-sale surveys and track responses
- Flag any issues requiring follow-up
What This Role Does NOT Own
To maintain clarity and accountability, this position does not include:
- Pricing or quoting
- Change order approval
- Wage setting, discipline, or HR decisions
- Marketing strategy or advertising spend
- Final schedule commitments without approval
- Handling escalated disputes independently
Who You Are
- Highly organized and detail-oriented
- Calm under pressure with shifting schedules
- Comfortable enforcing policies professionally
- Strong communicator by phone and email
- Able to manage multiple priorities without constant supervision
- Experience in construction, trades, or operations is an asset
Performance Expectations (First 90 Days)
By 90 days, you will:
- Independently manage scheduling and coordination
- Maintain accurate CRM and payroll preparation
- Significantly reduce owner interruptions
- Receive positive feedback from customers and crews
Job Type: Full-time
Pay: $24.00-$30.00 per hour
Expected hours: 40 per week
Work Location: In person
