A payroll specialist is primarily responsible for processing payroll and maintaining company's payroll system
Duties and Responsibilities include:
PAYROLL ADMINISTRATION
Handle employees payroll which include the following:
- Review employees' attendance such as overtime hours, absences, undertime adjustments and other information related to employees' payroll to determine and reconcile payroll discrepancies
- Validate and compute the salaries and wages, deductions, and withholding taxes on employees' compensation
- Compute employees' salary adjustment
- Ensure that all employees are paid based on their duly acknowledged and signed-off attendance records
- Provide employees' pay slips to keep them updated on their net pay and deduction
- Prepare all the necessary payroll reports such as payroll register, bank credit advice, accounting entries, employees' loan ledger, compensation cost and endorse the same to the HRD Head for review and approval
- Adhere to the highest level of professionalism and integrity in implementing the company's payroll transactions and sustains the level of employees' confidence in protecting and safeguarding the confidentiality of payroll information
- Resolve payroll discrepancies by collecting and analyzing information and by properly communicating the results of verification to concerned employees
- Processes clearance and final pay receivables for all resigned/separated employees such a final pay, 13th month, tax refund and payment of other accrued and earned benefits as per policy and ensures the proper administration of employee's release, waiver and quitclaim document
- Prepare and record all relevant employee information and updates such as but not limited to change in tax exemption, employees' movement, salary adjustments and other related information in order to update and maintain payroll and other mandated government records
- Prepare employees BIR Form 2316
- Prepare and compute the year-end tax adjustment (tax refund and ta payables) and the alpha list of employees
- Generate, update and summarize all relevant compensation and benefits data needed for annual salary review
- Evaluate employees' eligibility to avail of any salary loan and makes favorable recommendations for approval by the HRD Head
- Review and recommend improvement of payroll related systems, processes and procedures
- Facilitate the processing of compensation and benefits related documents such as but not limited to contracts, certificates and etc., and strictly ensure the accuracy and confidentiality of issued information
EMPLOYEES' LOANS
- Monitor employees' net disposable income i.e., net take home pay less payables and accountabilities, determine the employees' financial capability and make recommendation for approval of the HRD Head
- Maintain and update employees' individual ledgers to determine financial accountabilities such as cash advances, loans, and others
GOVERNMENT REMITTANCES
- Prepare monthly payment request for BIR Withholding Tax, SSS, PhilHealth and PAG-IBIG remittances
- Prepare reports and remits payment to SSS, PhilHealth, and PAG-IBIG ensuring that their corresponding contributions and payments are accurate and submitted on time
- Prepare all certifications as requested by employees such as employment certificate, certificate of employment and compensation, certificate of contributions and remittances - SSS, PhilHealth, and PAG-IBIG
201 FILE MANAGEMENT
- Handle the regular updating of all employee records, keeps the strict confidentiality of documents at all times, and ensure its safekeeping
REPORTS MANAGEMENT
- Prepare monthly, quarterly, semiannual and annual Compensation and Benefits Report such as salaries and wages, benefits cost, loan ledger, aging of terminal pay and etc.
Perform other tasks as assigned by immediate superior from time to time.
Qualifications
- With a Bachelor’s Degree in Psychology, Human Resources Management, Accounting/Finance or any related courses
- With proven experience of five (5) years in a related field
- With strong work ethics and values, trustworthy and with high level of professionalism and personal integrity
- Ability to manifest good interpersonal relationships and effectively deal with and relate to people from all levels across the organization
- Computer literate, with high level of proficiency in Microsoft Office applications such word, excel and powerpoint
- Willing to be assigned in Quezon Avenue, Quezon City
