Job Title: Project Coordinator
Location: Pella Windows & Doors of Dayton – Kettering, OH

We are known for our high-quality products, exceptional customer service, and collaborative team culture. We are seeking a detail-oriented and customer-focused Project Coordinator to join our team.

Position Summary:

The Project Coordinator is responsible for managing the order entry, purchasing, scheduling, delivery, installation, and service coordination of customer projects. This role ensures every detail of the customer’s order is executed accurately and efficiently—from contract to final resolution. The Project Coordinator works closely with the sales team and fulfillment teams to deliver a seamless customer experience.

Key Responsibilities:

  • Coordinate all stages of customer projects, including order processing, scheduling, delivery, and service follow-up.
  • Monitor project timelines and proactively communicate updates to internal teams and customers.
  • Maintain accurate records and documentation throughout each stage of the project lifecycle.
  • Serve as the primary point of contact for internal team members regarding order and installation status.
  • Address and resolve post-installation issues, including warranty and service-related requests.
  • Collaborate with sales consultants and operations staff to ensure on-time and accurate project execution.
  • Provide exceptional customer service through clear, professional, and prompt communication.
  • Assist in continuous improvement efforts by identifying process gaps and recommending solutions.

Required Qualifications:

  • 2+ years of customer service, administrative, or project coordination experience preferred.
  • Strong organizational skills and attention to detail.
  • Ability to learn internal systems and order management software.
  • Excellent written and verbal communication skills.
  • Strong problem-solving and decision-making abilities.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Dependable, punctual, and committed to meeting deadlines.
  • Familiarity with construction or building materials is a plus but not required.
