About the Role:
We are seeking a highly organized, detail-oriented Project Coordinator to drive internal communication, accountability, and execution across the company. This role is central to our operating system, owning follow-ups, tracking project progress, and ensuring that nothing gets lost in the shuffle. You’ll work closely with the CEO and executive team, sitting inside Slack and Asana every day to keep our workflows moving. The ideal candidate is assertive yet diplomatic, thrives in fast-paced environments, and has a knack for identifying what’s slipping and doing something about it. This is not a support role; it’s a role with real authority and ownership.
This is a hands-on execution role, not a senior or strategic PM position.
Compensation and scope are aligned to mid-level operations roles, not senior PM roles.
This role is a Full-Time remote position.
We are looking for a Project Coordinator specifically with these requirements:
- Excellent English written and verbal communication skills.
- Confident working with execs and senior leaders.
- Experience in roles like Project Coordinator, Project Coordinator, or Ops/Comms Manager.
- Familiar with Slack (channels, etiquette, follow-ups) and Asana or similar tools.
- Highly organized and detail-focused; able to track multiple threads without losing context.
- Comfortable nudging and reminding others, even when it’s uncomfortable.
- Emotionally steady; doesn’t take delays or slow replies personally.
- Process-minded; thinks in systems, not one-offs.
- High integrity; trusted to act on behalf of the CEO.
- Low ego; fine being the “unpopular” enforcer when needed.
- Quick to absorb large amounts of info and keep things moving.
- Fast-paced startup experience preferred.
- Strong availability during working hours, with flexibility for occasional off-hours.
- Able to learn our systems quickly and make them better.
Your responsibility will include (but not limited to):
- Monitor Slack for unanswered questions and missed action items.
- Follow up for the CEO and execs; replace “Remind Me Later” with human follow-through.
- Keep accountability in public channels; prevent things from getting buried in DMs.
- Track Slack response times; log delays and spot patterns.
- Share regular summaries with leadership flagging bottlenecks and unclear ownership.
- Manage Asana projects; make sure tasks have owners, deadlines, and clear priorities.
- Follow up on overdue or blocked tasks; escalate when needed.
- Turn Slack convos into clear, actionable tasks.
- Help enforce priority levels (urgent, same-day, etc.).
- Suggest process improvements to reduce noise and improve clarity.
- Support a culture of clean execution, not chaos.

❌ You don’t do daily Slack & Asana execution (channels, follow-ups, action items)
❌ You have difficulty tracking details or multiple threads
❌ You’re uncomfortable following up or escalating with senior team members
